Intake Manager (Law Firm)

<Job Summary>
We are seeking a dynamic and highly organized Intake Manager to join our legal team. In this vital role, you will oversee the initial contact and case intake process, ensuring a seamless experience for clients and attorneys alike. Your leadership will help streamline case management workflows, facilitate effective communication, and support the firm’s commitment to delivering exceptional legal services. The ideal candidate is proactive, detail-oriented, and possesses a strong understanding of various legal practice areas, including estate planning, environmental law, family law, and litigation. <Duties>

  • Manage the client intake process from initial contact through case assignment, ensuring all information is accurately collected and documented using legal case management systems such as PCLaw or iManage
  • Conduct thorough interviews with prospective clients to gather relevant case details across diverse practice areas including estate planning, immigration law, securities law, tribal law & regulations, patent law, workers' compensation law, personal injury law, landlord-tenant law, and others
  • Coordinate with attorneys and paralegals to prioritize cases based on urgency and complexity
  • Maintain organized records of all client interactions, documents, and case files using document review and management systems like Westlaw or LexisNexis
  • Provide executive administrative support by scheduling appointments, managing phone etiquette, and handling correspondence related to client intake
  • Assist with legal research and document drafting as needed to support initial case assessments
  • Ensure compliance with confidentiality standards and legal protocols throughout the intake process
  • Support ongoing process improvements for intake procedures to increase efficiency and client satisfaction

<Requirements>

  • Proven experience in legal administrative roles or as a paralegal with familiarity in legal research tools such as Westlaw or LexisNexis
  • Strong organizational skills with the ability to manage multiple cases simultaneously in a fast-paced environment
  • Excellent interviewing skills with a professional demeanor and attention to detail
  • Knowledge of various practice areas including estate planning, environmental law, family law, litigation, UCC law (Uniform Commercial Code), patent law, tribal regulations, securities law, workers' compensation law, personal injury law, landlord-tenant law, immigration law, and related fields
  • Experience with legal case management software such as PCLaw or iManage is highly preferred
  • Proficiency in document review, proofreading, transcription, and legal drafting techniques
  • Ability to handle data entry accurately while maintaining high standards of confidentiality
  • Strong clerical skills including filing systems and document management practices
  • Excellent communication skills with professional phone etiquette and organizational abilities to support team operations

Pay: $50,019.23 - $60,238.21 per year
