Intellectual Property (IP) Legal Assistant Manager

Birch, Stewart, Kolasch & Birch, LLP, an internationally recognized intellectual property law firm located near the Mosaic District in Vienna, has an exciting opportunity for a motivated and successful IP Manager to oversee our IP Legal Assistants and paralegals in a high production and fast paced environment. The IP Legal Assistant Department serves as the primary and direct support system for attorneys regarding patent and trademark prosecution and other IP work. This is a supervisory, exempt position. Position must reside in VA, DC, MD, or WV.

Responsibilities and Duties

  • Manager possesses a comprehensive understanding of US patent prosecution to troubleshoot and provide guidance to all department personnel within any area of the patent process.
  • Responsible for managing the IP Legal Assistants, IP Specialists, IP Assistants (Day and Evening), Trademark Coordinator, Trademark Specialist, and Litigation Paralegal. Including and not limited to workflow, work schedule, communication and coverage.
  • Oversees all applicable aspects of the workflow of docketed and/or attorney requested items. Ensuring that the work is timely and efficiently processed by department personnel.
  • Manages and assigns coverage for the attorneys.
  • Works closely with department personnel to identify and assess the strengths and weaknesses of the departmental processes and procedures.
  • Works closely with other department managers and supervisors to ensure coordination of IP procedures within firm wide procedures.
  • Responsible for working with the Best Practices Committee for purposes of developing, streamlining, and implementing IP prosecution procedures.

Qualifications

  • Minimum of 5 years of comprehensive US Patent prosecution management.
  • Minimum of 5 years of personnel supervision, strategic planning, project implementation and training development strongly preferred.
  • Knowledge of and proficiency in using Patent Center and Trademark Center is required.
  • Knowledge of Patricia document management system software and 3E billing software is preferred.
  • Service‑oriented with enthusiasm for the challenges of providing complex services in an IP law firm setting.
  • Detail-oriented individual possessing both organizational and managerial skills.
  • Well-rounded, approachable individual able to effectively communicate with others in a professional setting.
  • Excellent oral and written communication skills.
  • Ability to engage in and provide creative problem solving.
  • Ability to multi‑task and work in a fast‑paced environment.
  • Ability to work during non-core business hours such as weekends, evenings, and/or holidays, when needed.
  • Ability to supervise and mentor staff and provide leadership in a collaborative work environment.
