Position Summary

INTERNAL POSTING
This position is posted in compliance with Alabama Code §16-22-15.
It is the intent to place a current employee in this position.
This employee works at the circulation desk handling duties such as check out and check in of materials and other duties associated with the circulation module of the online library system. The employee also works in the book stacks shelving books, maintaining the books on the shelves, and shelf reading. This employee carries out these duties at the Library on the Decatur and Huntsville campus.

Salary
: Appropriate placement on ACCS Salary Schedule (Download PDF reader) E5, Grade 6: $28,836 - $46,327
(Salary within this range is determined by your documented years of full-time related work experience)

Work Hours: Monday through Thursday, 7:45 a.m. - 5:15 p.m.; Friday 7:45 a.m. - 11:45 a.m. (Adjustments to the scheduled work hours may be made by the appropriate administrator and could include day or weekend hours.)

Essential Duties and Responsibilities

  • Perform all duties with professionalism.
  • Answer a multitude of technology questions customers have.
  • Assist customers with research when Librarian is not available at Reference Desk.
  • Operate OCLC WorldShare for processing interlibrary loan requests.
  • Assist library users with library resources, printing, copying, MyCalhoun, Canvas, Office, databases, eBooks, directions to other buildings, and any other questions or issues.
  • Share in maintaining an up to date and current Library Circulation Policy and Procedures Manual online in Wiki format, and a print version in large notebooks.
  • Alert supervisor of any issues that are in need of management attention.
  • Maintain Horizon Borrower Database for Library customers.
  • Run Horizon Overdue and Bill Notice reports daily and prepare for US Mail.
  • Place/Remove ‘Academic Hold’ on customer/borrower/student records in MyCalhoun/Banner for books not returned following two Overdue Notices.
  • Accept customer receipts from Cashier’s Office for ‘Lost and Paid’ for books and remove Library Holds in MyCalhoun/Banner.
  • Train new adjunct circulation assistants and workstudy students in the duties of the Circulation Desk and the use of the SirsiDynix Horizon Circulation Module to loan library materials and manage borrower.
  • Greet and provide general information and assistance for visitors to the library.
  • Operate Horizon Circulation Module for check out/check in of Library circulating books, Reserve Textbooks, and Reserve books.
  • Maintain Reserve Shelf and Textbooks on Reserve Shelf, adding books and removing books according to faculty instructions.
  • Maintain Bill Book with copies of all Bill Notices mailed at both libraries.
  • Compile and submit monthly reports for Multimedia Room and Study Room usage.
  • Troubleshoot Library and virtual student workstations in Instruction Room.
  • Enter borrower records while customers are waiting.
  • Read shelves (Book Stacks, Reference, Reserve, etc.) for accuracy of shelving (to find lost and mis-shelved books) on a weekly basis.
  • Lead effort for conducting Inventory of all Library books every other summer semester.
  • Open Library daily by turning on lights, opening doors to public spaces, turning on virtual workstations, and close Library on Fridays.
  • Serve on campus wide Committees.
  • Maintain signage for changes in Library Hours; put hours on circulation desk Voice Mail.
  • Assist in cleaning Library computers and computer tables.
  • Maintain library equipment and restock materials.
  • Answer phone and transfer calls if needed. Check voice mail.
  • Retrieve books from the Book Drop daily; sort books returned and prepare for shelving.
  • Perform related work as assigned.

Qualifications

  • A minimum of a high school diploma or equivalent and 10 semester hours of postsecondary education in clerical or related field is required OR high school diploma or equivalent and two (2) years clerical work experience is required.
  • Ability to utilize Excel or other database software (such as Access) to enter, format, sort and analyze information and prepare reports is required.
  • Ability to utilize Word or other word processing tools to prepare and communicate information is required.

  • Knowledge of community college policies and procedures.
  • Knowledge of Library of Congress call numbers.
  • Knowledge of Banner System and or a similar system.
  • Knowledge of how wireless systems work.
  • Knowledge of social media platforms and techniques.
  • Skill in operating a mouse to control a computer.
  • Skill in operating a computer including tablets and Laptops.
  • Skill in utilizing a multi-line phone system.
  • Skill in operating a copier and scanner.
  • Skill in operating AV equipment.
  • Skill in operating microfilm and microfiche reader.
  • Skill in current student technologies used at the college.
  • Ability to follow instructions and adhere to prescribed routines.
  • Ability to utilize Microsoft Office programs for basic computer work specifically Microsoft Word or Publisher for creating signage, forms and other documents and Excel for Timesheet.
  • Ability to operate an Integrated Library System such as Horizon.
  • Ability to use Adobe Software.
  • Ability to make decisions based on Correspondence, data or other information.
  • Ability to multi-task and prioritize issues.
  • Ability to utilize email systems to communicate information.

Sick Leave
All regular full-time non-instructional staff earns one day of sick leave which is the equivalent of 8 hours of sick leave per month. Unused sick leave is rolled over to the following year. Upon retirement, employees are allowed to convert unused sick time into service time for the purpose of retirement. Retirement
The TRS was established in 1939 to provide benefits to qualified persons employed by state-supported educational institutions. Responsibility for the management and administration of the TRS is vested in its Board of Control. The Boards of Control elect the Secretary-Treasurer who serves as the Chief Executive Officer of the RSA and is responsible for the day-to-day management of the RSA. All regular full-time and part-time employees (non-temporary and non- student) who work at least 20 hours per week are required to participate in The Teachers' Retirement System of Alabama.

Tuition Assistance
This tuition waiver program is designed for all full-time instructional and non-instructional employees of The Alabama College System and the Alabama Department of Postsecondary Education and their dependents as defined under by policy. The program will be coordinated by each institution for employees within The Alabama College System and the Alabama Department of Postsecondary Education. An application form for the tuition assistance program is available in the Human Resources office and should be completed prior to registration for classes.

Employees/Dependents at two-year colleges:
  • 1/3 waived after 1st year
  • 2/3 waived after 2nd year
  • 3/3 waived after 3rd year
