Position Title: International Procurement & Sales Coordinator (China Business Focus)

Role Summary:

We are seeking a highly organized and proactive International Procurement & Sales Coordinator to manage supplier communication, import operations, and client coordination for lighting products. The role combines international procurement (mainly from China) with domestic sales coordination, ensuring smooth purchasing, shipping, and customer support processes from order placement to delivery.

Key Responsibilities:

Procurement & China Business Coordination

  • Manage communication with Chinese suppliers via email, WeChat, and trade platforms (Alibaba, Global Sources).
  • Prepare and follow up on purchase orders, proforma invoices, and supplier quotations.
  • Coordinate ocean and air shipments, ensuring timely delivery and accurate logistics tracking.
  • Prepare, verify, and organize import documentation:
  • Commercial Invoice
  • Bill of Lading
  • Certificate of Origin
  • Quality and inspection certificates
  • Follow up with relevant authorities for document authentication and certificate issuance.
  • Coordinate with freight forwarders and customs brokers for clearance and delivery to warehouse.
  • Maintain organized records of shipments, suppliers, and purchase history.
  • Generate weekly procurement and shipment status reports.

Sales Coordination & Client Support (Lighting Division)

  • Handle client inquiries regarding lighting products
  • Prepare sales quotations, proposals, and price lists based on client requirements.
  • Coordinate with production and logistics teams to confirm product availability and delivery schedules.
  • Maintain regular communication with clients to ensure satisfaction and timely updates on their orders.
  • Record and update sales transactions, quotations, and customer feedback in company systems.
  • Assist in the preparation of marketing or technical materials for clients.

Qualifications & Skills:

  • Bachelor’s degree in Engineering, Business Administration, Supply Chain, or a related field.
  • 3+ years of experience in international trade, procurement, or sales coordination.
  • Proficiency in English (required); Chinese language proficiency is a strong advantage.
  • Strong knowledge of MS Office (Excel, Word, Outlook) and online sourcing/trade platforms.
  • Excellent communication, negotiation, and organizational skills.
  • Attention to detail and ability to manage multiple tasks under tight deadlines.
  • Knowledge of lighting products or industrial electrical supplies preferred.
  • Familiarity with freight, logistics, and KSA customs procedures is a plus.
