The primary objective of the job is to offer administrative services, guidance and counseling, and assistance while working as part of a team to provide quality service to students in accordance with the Academy Guidelines, which includes dealing with cadetships and other institutional internships within other organizations. Reports to the Head Registrar and Integrity. Work directly with students for their cadetship and seagoing service sponsored by external national and international companies.
Responsibilities: Core Responsibilities:
Provide administrative assistance to the unit- prepare all elements required for the cadetship training program
Offer assistance in facilitating live online and physical training courses to enable the proper operation of the cadetship program
Keeping track of records in internal systems
Conduct outreach to engage new community partners and expand relationships for internships and other opportunities
Tracks and maintains records of student internships and engagement activities
Collaborate with supervisor and staff to analyze, and present program data
Uses assessment data to assist supervisor in developing and initiating new and innovative solutions to best engage with external community partners, manage events, and reach departmental goals
Manages office communication tools (i.e. announcements, emails, WhatsApp groups) to increase visibility of the office and opportunities
Coordinate events including, but not limited to, panels and employer information sessions
Support an academic internship program providing career development and professional work experience
Act as liaison between the academy and employer sponsors, monitoring the success of students' internship experiences
Supervise student internships, assuring adherence to related academy and governmental policies and regulations
Create and conduct orientation sessions and workshops for students in the internship program; coordinate applications, interviews, and placement as part of overall student outreach
Implement and evaluate competencies and other success factors
Perform all other related duties as assigned
Arrange the Induction / Orientation for the new cadets going onboard ship
Communicate professionally both verbally and in writing
Present the Academy in the best light and ensure that all departmental activities comply with standards laid down by the Academy and relevant outside agencies and organizations

Liaise with performance management team to establish appropriate KPIs and reporting for the cadets and to develop suggested process improvements as per the gap analysis from the KPIs
Qualifications: Educational and Technical Qualifications:
Bachelor's degree in Business Administration or a related field. Master's degree is a plus
Language Skills:
Excellent English. Arabic is an added advantage
Years of Experience:
A minimum of 4-6 years of experience in a similar role
Nature of Experience:
Excellent communication skills
Experience working in project/program management, internship management, employer development, business partnerships, business development, higher education, or related field
Strong attention to detail
Database management and reporting skills
Ability to train others on procedures
Comfortable with public speaking to deliver presentations
Experience in working with and supporting underrepresented populations, and deep commitment to advancing diversity and inclusion goals.
Knowledge of IT in the student services and learning resources.
