Job Title: Inventory Control and Purchasing Specialist

Position Type: Full-Time

Job Summary

We are seeking a detail-oriented and proactive Inventory Control and Purchasing Specialist to manage our company's inventory and procurement processes. The ideal candidate will be responsible for the entire procurement lifecycle, from sourcing and ordering to receiving and inventory management. This role requires a high level of accuracy, strong negotiation skills, and expert-level proficiency in QuickBooks Desktop to manage purchase orders, track inventory levels, and maintain accurate financial records.

Key Responsibilities

Purchasing

  • Procurement: Manage the end-to-end purchasing process for raw materials, supplies, and equipment.
  • Purchase Orders (POs): Create, issue, and manage all purchase orders in QuickBooks, ensuring accuracy in pricing, quantity, and delivery specifications.
  • Vendor Management: Source, vet, and build strong relationships with new and existing suppliers.
  • Negotiation: Negotiate pricing, payment terms, and delivery schedules with vendors to optimize cost and ensure timely delivery.
  • Reconciliation: Collaborate with the accounting department to match purchase orders, packing slips, and vendor invoices in QuickBooks to resolve any discrepancies.

Inventory Control

  • Inventory Management: Maintain optimal inventory levels to meet production and sales demands without overstocking.
  • QuickBooks Inventory Tracking: Utilize QuickBooks inventory management features to track all stock movements, including receiving items, fulfilling orders, and making inventory adjustments.
  • Cycle Counts: Plan and conduct regular physical inventory counts (cycle counts and year-end) and reconcile any variances with the data in QuickBooks.
  • Stock Monitoring: Set and monitor reorder points and safety stock levels within QuickBooks to prevent stockouts.
  • Receiving: Oversee the receiving process, verifying the quality and quantity of delivered goods and entering them into the inventory system.

Analysis & Reporting

  • Reporting: Generate and analyze inventory and purchasing reports from QuickBooks, such as inventory valuation summaries, stock status reports, and purchase history.
  • Cost Analysis: Track and report on material costs, vendor performance, and identify opportunities for cost reduction.
  • Forecasting: Assist in forecasting inventory needs based on sales data, production schedules, and market trends.

Qualifications & Skills

Required

  • Experience: 2-4 years of proven experience in a purchasing, inventory control, or supply chain role.
  • Ability to pass an ATF/FBI background check.
  • QuickBooks Proficiency: Expert-level, non-negotiable experience with QuickBooks (Desktop), specifically:
  • Creating and managing purchase orders.
  • Using the inventory management module (items, assemblies, adjustments).
  • Receiving items against purchase orders.
  • Reconciling vendor bills and POs.
  • Running inventory and purchasing-related reports.
  • Technical Skills: High proficiency in the Microsoft Office Suite (especially Excel for analysis and reporting).
  • Soft Skills:
  • Excellent negotiation and communication skills.
  • Strong analytical and problem-solving abilities.
  • Exceptional organizational skills and meticulous attention to detail.
  • Ability to work independently and manage multiple priorities effectively.

Job Type: Full-time

Pay: $22.00 - $27.00 per hour

Expected hours: 40 per week
