Role description:
The Inventory Controller serves as an administrative support function to the Sales team, focusing on the efficient management of the vehicle supply chain and ensuring the smooth progression of the Sales Cycle. Reporting to the Logistics Manager, the role involves coordinating with various departments and maintaining effective communication channels. Key responsibilities include:
General Duties:
- Support Sales with Pre-Delivery Inspection (PDI) Requests
- Track the location and status of vehicles throughout the Sales/PDI Cycle
- Assist with additional miscellaneous items (e.g., window tint, paint protection)
- Ensure adherence to guidelines and processes for timely delivery, meeting customer promises
- Maintain regular communication with Sales Consultants/Managers through email and the Document Management System (DMS)
- Provide support for IT issues and reporting to facilitate communication
- Foster a positive relationship with the PDI department to ensure smooth operations
- Conduct regular meetings at the PDI center to enhance best practices
- Communicate with the Logistics department to support schedule planning
- Generate vehicle stock reports
- Create and manage vehicle Marine Insurance claims, collaborating with relevant insurance companies to ensure timely repairs and resale readiness
Additional Responsibilities for Inventory Control:
- Oversee and manage inventory levels to meet sales demands.
- Collaborate with the Inventory Control team to conduct regular audits and reconcile discrepancies.
- Implement and maintain inventory management procedures to optimize stock levels and reduce wastage.
- Work closely with the Ordering and Claims Manager to forecast inventory needs based on sales trends.
- Ensure accurate and timely recording of all inventory transactions in the system.
- Coordinate with suppliers and internal teams to resolve any inventory-related issues.
- Monitor and report on slow-moving or obsolete inventory, proposing strategies for clearance or repositioning.
- Implement and enforce safety and security measures for inventory storage.
- Monitor and maintain the inventory of new and used vehicles, ensuring the right mix and adequate stock levels to meet customer demand and dealership targets.
- Conduct regular physical and system-based audits to verify the accuracy of vehicle stock records, identifying discrepancies and implementing corrective measures.
- Address any stock-related issues promptly, such as vehicle damages, missing documentation, or discrepancies, to maintain smooth operations.
- Implement strategies to mitigate the risk of overstocking or understocking and minimize the impact of vehicle depreciation on inventory.
- Maintain up-to-date and accurate records of vehicle stock using inventory management software, recording details such as vehicle specifications, VIN numbers, condition, and location.
- Analyze sales trends and customer preferences to forecast demand, making data-driven decisions on stock replenishment and adjustments.
- Prepare comprehensive reports on vehicle inventory, sales performance, and stock turnover for management review.
- Forecasting and Demand Planning: Utilize historical sales data and market trends to forecast demand for different vehicle models and plan inventory accordingly.
- Ensure proper registration and documentation of vehicle warranties, coordinating with manufacturers to address warranty claims and repairs as needed.
- Collaborate with the sales and marketing teams to ensure that vehicles in the showroom and display areas are presented in an attractive and organized manner and freshly rotated.
- Collaborate with management to set and achieve key performance indicators (KPIs) related to stock turnover, sales targets, and inventory levels.
- Control booking / reservation reports and instil a process to ensure “First in first out” is followed.
- Assist customers with vehicle inquiries and provide information on available stock, features, and specifications when required.
- Stay updated on relevant industry regulations, ensuring compliance with legal requirements related to vehicle inventory management, registration, and warranties.
- Collaborate with the sales, service, and finance teams to align stock management efforts with overall business objectives.
- Identify opportunities to streamline stock control processes and implement improvements to enhance overall efficiency and accuracy.
- Facilitate effective communication between various departments to address stock-related issues promptly and maintain a seamless workflow.
- Control check-in and out of vehicles at all locations.
- Sustainability Initiatives: Explore and implement sustainable practices in vehicle stock management, such as recycling and reducing waste.
- Controls and Monitors internal vehicles / movements
