Summary:

POSITION SUMMARY:

Perform a variety of clerical and manual tasks involved in maintaining inventory controls to include receiving, verifying, storing, and issuing various supplies, materials, and equipment.

POSITION EDUCATION/ QUALIFICATIONS :

  • High school/GED required
  • Working knowledge of medical terminology required
  • Experience in material management and hospital experience preferred
  • Computer knowledge is required
  • Must be able to be sensitive to cultural and bilingual issues.
  • Good written and verbal communication skills required.
  • Ability to read, write and speak English
  • Ability to communicate clearly and concisely with all levels of nursing, administration, and physicians
  • Valid Texas driver's license required

JOB KNOWLEDGE/EXPERIENCE :

  • Possess knowledge in the theory and application inventory control and distribution.
  • Proficient in the preparation, set up and maintenance of inventory, equipment and supplies used for patient care.
  • Stocks and maintains adequate inventory of supplies.
  • Maintain competency to operate office machines and MMIS applications.
  • Must have at least (2) year experience of inventory management.
  • Prefer experience of inventory management in a healthcare setting.

Responsibilities:

POSITION RESPONSIBILITES:

  • Promotes the facility mission, vision and values by effectively communicating them to others . Considers mission , vision and values in developing services, standards and practice.
  • Assess inventory and PAR levels daily for Supply Chain Warehouses or other assigned areas.
  • Prepares supply order based on inventory assessment and anticipated needs.
  • Adjusts inventory levels as needed in Caduceus and maintains locations and updates as necessary. Demonstrates cost effectiveness by maintaining appropriate inventory levels.
  • Researches and communicates status of all backordered items to end users and administrators when necessary.
  • Submits supply order electronically utilizing the MMIS application.
  • Receives and reconciles supply orders.
  • Correctly labels and stocks supplies for assigned areas.
  • Distributes supplies and fills stock orders, noting discrepancies.
  • Organizes and retrieves all unused supplies and used equipment for credit, returns or re-distribution.
  • Minimizes acquisition/delivery times of supplies by working efficiently.
  • Exchanges and accurately restocks emergency and other designated procedure carts.
  • Retrieves, decontaminates and processes minor hospital medical equipment.
  • Ensure that supply locations are kept in a clean and orderly manner. Supplies are kept at least 6 inches from the floor and 18 inches from the ceiling. Cardboard is kept to a minimum. Bins are properly labeled and in their correct location.
  • Must operate copy machine, facsimile machine, computer, and other office equipment.
  • Prepares and executes monthly cycle counts for their own inventory as well as for additional supply locations. Researches discrepancies.
  • Performs weekly rounds of inventory and sweeps for expired product. Responsible for the processing and disposition of all expired supplies.
  • Manages sales reps via RepTrax and insures that policy and procedure are followed accordingly.
  • Works with department managers to assess supply needs and assist with meeting inventory management goals.
  • Responsible for insuring that the general upkeep, maintenance, and log sheets for the vehicles are performed.
  • Assists in training new employees and insures that they are proficient in their new duties.
  • Proficient in utilization of GPO tools to maintain knowledge of appropriate subs and information related to inventory.
  • Responsible for insuring the maintenance and safety of all department owned equipment and vehicles.
  • Responsible for the accurate processing of all recalled items and inventory conversions to insure a seamless transition of use.
  • Assists with the set ups of new facilities to insure supply needs are met.
  • Assists with receiving discrepancies, tracks down lost packages, and researches errors.
  • Assists with preparation and execution of bi-annual inventory, hospital-wide.
  • Responsible for assessment, preparation and action response to supply and equipment needs during emergency and disaster situations.
  • Is responsible for ensuring that daily tasks are completed.
  • Delegates duties as needed to ensure that the highest levels of customer service is maintained and all tasks are completed in a timely manner.
  • Ensures that the end users area notified of product availability.
  • May perform other tasks and duties as assigned that is appropriate with the operation of the Supply Chain Department.

B. Working Conditions : The individual spends over 95% of his/her time in an air-conditioned environment with varying exposures to noise. There is protection from weather conditions but not necessarily from temperature changes. The position does have low exposure to malodorous, infectious body fluids from patients and some minimal exposure to noxious smells from cleansing agents.

C. Occupational Exposure: This position has minimal to no exposure to blood, body fluids, or tissues and is an OSHA Category III (although situations can be imagined or hypothesized under which anyone, anywhere, might encounter potential exposure to body fluids). Person who performs these duties are not called upon as part of their employment to perform or assist in emergency medical care or first aid or to be potentially exposed in some other way.
