Core responsibilities
- Stock management: Receiving, processing, and storing new inventory, including checking for damage, weight, and hallmark signs.
- Record keeping: Maintaining accurate and up-to-date inventory records using company systems and entering details like metal type, weight, and pricing.
- Auditing and reconciliation: Conducting physical stock verifications and audits, identifying discrepancies, and preparing reconciliation reports.
- Item processing: Tagging, labelling, and preparing items for display or sale. This also includes processing items for online listings or trunk shows.
- Security and compliance: Adhering to security protocols to protect high-value inventory and ensuring compliance with company procedures for handling, transfers, and returns.
Typical duties
- Tracking movement: Logging the movement of jewelry between departments, such as from production to the sales floor, and maintaining a record of all transfers.
- Processing returns: Handling returned items, including Return to Vendor (RTV) processes, and ensuring accurate documentation.
- Supporting sales: Liaising with sales teams on memo requests and ensuring timely returns of items sent to customers or other branches.
- Administrative support: Performing administrative tasks like filing, scanning, and managing documentation related to inventory.
- Data analysis: Monitoring stock levels, identifying trends, and potentially recommending adjustments to purchasing plans.
Desired skills and qualifications
- Attention to detail and accuracy
- Knowledge of inventory management software
- Understanding of jewelry basics, such as hallmarking and gemology (for higher-level roles)
- Strong organizational and time-management skills
- Ability to work with valuable and sensitive materials
- Experience in retail, supply chain, or a similar operations role is often preferred
