Position Overview:
The Inventory Officer is responsible for maintaining accurate stock records, monitoring stock levels, managing inward and outward stock movement, and ensuring proper handling of baking tools, consumables, and food-grade ingredients. The role is critical for avoiding shortages, minimizing wastage, and supporting smooth retail and wholesale operations.
Key Responsibilities:
1. Stock Monitoring & Control
Maintain accurate stock records of baking tools, consumables, ingredients, and misc. items.
Conduct daily, weekly, and monthly stock counts.
Ensure stock levels are maintained according to sales demand and reorder points.
Identify fast-moving, slow-moving, and non-moving items.
2. Goods Receiving & Verification
Verify incoming stock against purchase orders and invoices.
Check quantities, product quality, expiry dates, and packaging condition.
Record discrepancies (shortages, damages, wrong items) and report to management/procurement.
Ensure proper documentation of inward stock movement.
3. Stock Issuance & Dispatch
Manage stock issuance for retail sales and wholesale/bulk orders.
Ensure proper stock rotation (FIFO/FEFO for food ingredients).
Maintain records of all issued stock, damaged goods, and returned items.
4. Record Keeping & Reporting
Maintain an up-to-date inventory register/system (manual or software).
Record near-expiry, damaged, or obsolete items.
Prepare daily/weekly/monthly stock reports for management.
Support audits by providing accurate stock records.
5. Coordination with Store & Sales Teams
Coordinate with store manager, sales staff, and cashier for stock requirements.
Inform procurement team of low-stock or out-of-stock items.
Support sales team by ensuring availability of fast-moving products on shelves.
6. Loss Prevention & Compliance
Monitor inventory to minimize pilferage, shrinkage, or misuse.
Ensure compliance with company SOPs for storage and handling.
Implement proper labeling and barcoding for easy tracking.
Ensure hygiene and safe storage of food-grade ingredients.
7. Warehouse/Store Organization
Maintain organized storage areas for quick accessibility.
Ensure baking tools, fragile items, and ingredients are stored properly to prevent damage.
Follow safety protocols for heavy lifting, stacking, and chemical handling (e.g., food colors, additives).
8. Job Qualification:
Preferably Masters, Graduation is must.
Excellent communication & interpersonal skills
Can Do attitude & problem solving skills
Able to independently work in the rotational shift
Candidate must be flexible regarding shift time.
