POSITION PURPOSE

The Inventory & Purchasing Assistant is responsible for managing daily inventory transactions, supporting the Purchasing & Planning team, and ensuring accurate inventory records. This role oversees the Warehouse Management System (WMS), monitors transactions, and performs inventory adjustments and movements. This individual is also responsible for managing the cycle count process, resolving inventory discrepancies, and providing key support for purchasing activities, including order confirmations, supplier communication, and MRO procurement. The Inventory & Purchasing Assistant will demonstrate excellent communication and organizational skills, high accuracy, and attention to detail and will contribute to a positive team atmosphere.

POSITION QUALIFICATIONS AND JOB DUTIES

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

  • Bachelor’s degree in Supply Chain, Business, or a related discipline and/or equivalent work experience
  • 3+ years of experience in inventory management, purchasing, procurement, or supply chain
  • Previous inventory control experience including cycle counts and full physical inventory
  • Familiarity with supply chain principles and best practices
  • Experience with ERP and Warehouse Management Systems (WMS); SAP experience is a plus
  • Excellent time management, attention to detail, and organizational skills
  • Strong problem-solving and investigative skills and ability to identify and resolve discrepancies
  • Effective communication and collaboration skills and able to work independently and as part of a team
  • Strong analytical skills with the ability to interpret reports and data
  • Extensive working knowledge of PC functions and Microsoft Office programs including Word, Excel, Outlook, PowerPoint

JOB DUTIES:

  • Oversee and manage daily inventory transactions within the Warehouse Management System (WMS).
  • Monitor WMS for accuracy and ensure all transactions are correctly recorded.
  • Adjust and move inventory as needed to maintain accurate stock levels.
  • Manage and execute the cycle count process, including issuing counts to the floor, entering data, and reissuing counts if discrepancies occur.
  • Conduct monthly reviews of damaged and obsolete inventory, providing recommendations and next steps.
  • Investigate large inventory variances, identify root causes, and work with teams to resolve discrepancies.
  • Provide direction and support to ensure proper inventory control procedures are followed.
  • Enter purchase order confirmations from Buyer/Planners into the system.
  • Send out weekly reports to suppliers and update purchasing data accordingly.
  • Scan and electronically file purchase orders and other purchasing documents.
  • Manage MRO (Maintenance, Repair, and Operations) purchasing and procurement of office supplies.
  • Support ongoing updates and data management related to purchasing operations.
  • Collaborate with the Purchasing & Planning team to improve efficiency and accuracy in procurement and inventory processes.
  • Assist in process improvements for inventory management and purchasing workflows.
  • Able and willing to work the necessary hours to meet all project deadlines; travel when necessary.

PHYSICAL DEMANDS

  • Must be able to remain in a stationary position 50% of the time.
  • Must be able to bend, climb stairs, and continuously stand or walk 25% of the time.
  • Must be able to occasionally move within the office to access file cabinets, office machinery, etc.
  • Must be able to lift 10-20 pounds (packages, copy paper boxes, etc.)
  • Must be able to communicate effectively by listening and also in both written and verbal forms.

WORK ENVIRONMENT

  • Generally, works in an office environment but may occasionally be required to perform job duties outside of the typical office setting.
  • This position regularly requires large amounts of time to be spent using and viewing computer screens and equipment, which generally entails regular and repetitive motions.
  • May occasionally be exposed to fumes, airborne particles, or chemicals. All safety procedures should be adhered to in each of these situations.

Compensation Range: $65,000 to $80,000 per year

Compensation for the role will depend on several factors, including a candidate’s qualifications, skills, competencies, and experience, and may fall outside of the range provided. The compensation range listed above may encompass base salary, performance-based bonuses, and commission opportunities, if applicable.
