Position Summary

The Inventory Specialist is responsible for the accurate, real-time control of raw materials, work-in-progress (WIP), sub-assemblies, and finished goods across production operations. This role supports receiving, storage, issuing/kitting, inventory control, and shipping activities while ensuring data accuracy through ERP systems and Excel. Safe forklift operation, barcode/scanner use, and strong attention to detail are essential to maintaining inventory accuracy and production flow.

Essential Duties & Responsibilities

Receiving & Inspection:

  • Receive and unload materials using a forklift.
  • Verify quantities, specifications, and LOT/batch numbers against purchase orders and packaging lists.
  • Report damages, shortages, or discrepancies immediately.
  • Collect and maintain receiving documentations (POD, packing lists, B/L)
  • Apply labels and ensure proper LOT tracking in the system.

Put-Away & Storage Control:

  • Store materials in assigned locations following FIFO/FEFO principles.
  • Maintain warehouse organization, location accuracy, and 5S Standard.
  • Follow storage guidelines for heavy, hazardous, or special materials.

Issuing & Kitting:

  • Pick and issue materials according to production orders or material requests.
  • Prepare kits for production lines as required.
  • Process material returns and leftover items accurately.
  • Update ERP data and re-label materials when substitutes are used.

Inventory Control:

  • Perform cycle counts and monthly physical inventories.
  • Investigate discrepancies, conduct root cause analysis, and implement corrective actions.
  • Ensure alignment between physical inventory and system records.
  • Follow scrap and disposal procedures per SOPs.

Systems & Reporting:

  • Accurately post all inventory transactions in ERP (receipts, issues, transfers, adjustments)
  • Create and maintain Excel-based inventory reports (inventory days, slow0moving items, ABC analysis)
  • Use pivot tables and formulas such as VLOOKUP/XLOOKUP and INDEX/MATCH.
  • Maintain barcode templates and ensure scanners and printers are functioning properly.

Shipping & Documentation:

  • Pick, inspect, pack and load outbound shipments using a forklift.
  • Coordinate handoff to carriers.
  • Ensure shipping labels and documentation are accurate and complete.

Safety, Equipment & Continuous Improvement:

  • Perform daily checks on forklifts and pallet jacks.
  • Follow all safety rules, SOPs, and PPE requirements.
  • Suggest improvements to warehouse layout, material flow, and dock-to-dock efficiency.

Qualifications

Education: High school diploma or equivalent required.
Experience: Inventory experience preferred; manufacturing experience is a plus.
Skills:

  • Forklift operation experience (certification or ability to obtain)
  • Experience with digital inventory systems (ERP/WMS) and barcode scanners.
  • Proficiency in Excel (pivot tables, sort/filter, VLOOKUP/XLOOKUP, INDEX/MATCH)
  • Strong attention to detail and accurate documentation skills.
  • Ability to work in a fast-paced manufacturing environment.
  • Strong reliability, communication, and teamwork skills.
