Office Timings: 7.30 PM IST to 4.30 AM IST (Night Shifts)

Job Summary:
The IT Office Administrative/Analyst will support the staffing firm’s operations by managing documentation, bid preparation, and project tracking. This role combines administrative efficiency, IT systems knowledge, and analytical skills to ensure smooth execution of staffing projects, compliance with client requirements, and accurate reporting for management.

Key Responsibilities:
- Prepare, review, and maintain contracts, proposals, and compliance documents.
- Ensure all staffing agreements, NDAs, and client/vendor documentation are accurate and up to date.
- Maintain digital filing systems for easy retrieval and audit readiness.

Bidding & Proposal Management:
- Assist in preparing RFP/RFQ responses, bid documents, and pricing sheets.
- Coordinate with recruiters, sales, and finance teams to gather required inputs for proposals.
- Track bid submissions, deadlines, and outcomes to support business development.
- Maintain a repository of templates, case studies, and past proposals for quick turnaround.
Tracking & Reporting:
- Monitor staffing project progress, candidate onboarding, and client deliverables.
- Develop and maintain dashboards/reports on bid success rates, project timelines, and resource utilization.
- Track KPIs such as time-to-fill, cost-per-hire, and client satisfaction metrics.
- Provide data-driven insights to management for process improvement.

IT & Systems Support:
- Manage applicant tracking systems (ATS), CRM, and internal project management tools.
- Provide first-level IT support for office systems and coordinate with vendors for escalations.
- Ensure data integrity and security across staffing platforms.

Qualifications & Skills:
- Education: Bachelor’s degree in Business Administration, Information Technology, or related field.
- Experience: 0-1 years in administrative, IT analyst, or operations roles (staffing/consulting industry preferred).

- Technical Skills:
- Proficiency in MS Office Suite (Excel, Word, PowerPoint).
- Familiarity with ATS/CRM platforms (e.g., Bullhorn, Zoho Recruit, Taleo).
- Knowledge of reporting tools (Power BI, Tableau, or Excel dashboards).

- Soft Skills:
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication.
- Analytical mindset with attention to detail.

Performance Metrics:
- Accuracy and timeliness of documentation and bid submissions.
- Bid-to-win ratio improvement.
- Reduction in project delays through effective tracking.
- Positive feedback from recruiters, sales, and management teams.
