IT Specialist HR Systems

Job Purpose :

To centralize all HR systems across the organization by ensuring the most efficient utilisation of resources taking into account business drivers, applicable policies, regulations and laws. The jobholder will also work closely with HR department and external service providers to provide the best-automated solutions to meet HR needs.


Key Result Areas :

1. Build long and short-term workforce schedules/HR systems for each department, using relevant workload demand drivers to enable the most efficient use of resources.

2. Collaborate with line managers to implement changes of scheduling based on dynamic forecasting to ensure continuous optimization of resources.

3. Engage stakeholders to understand key business issues and workforce scheduling/HR challenges in order to propose and implement appropriate solutions.

4. Partner with department admins to identify opportunities to increase efficiency in planning and reduce manpower cost.

5. Contribute to workforce planning throughout the year by providing historical and forecasted data trends in order to make data driven decisions on headcounts.

6. Conduct periodic health checks on the system to ensure compliance to labor law, policies and processes.

7. Provide continuous training to different user groups on the HR systems and on scheduling practices to build Organisational competence.

8. Produce periodical analytical workforce reports to highlight trends, identify and recommend solution for area improvement and to enable decision making.

9. Resolve scheduling/HR system queries in a quick and professional manner, escalates any complex cases to ensure appropriate response in order to maintain a high level of customer service.


Knowledge, Skills & Minimum Experience :

Qualification :

•A bachelor's degree or equivalent qualification, preferably in Computer systems

•Basic knowledge of database, internet technologies, quality management and change management

•Lean certified (preferable)


Experience & Knowledge :

•Minimum 6 years’ experience in an operational environment

•Professional background in HR or analytics is an advantage

•Experience in long term planning, rostering and scheduling, preferably in Kronos system

•Expertise in Microsoft Office applications, especially MS Excel

•Knowledge on HCM or HRMS modules preferred
