Job Title: Jr. Procurement Officer

Location: Egypt

Job Purpose

The Jr. Procurement Officer supports the execution of procurement and sourcing activities through hands-on coordination, system administration, and operational delivery.

The role focuses on managing purchase orders, supporting supplier relationships, maintaining accurate procurement data, and ensuring compliance with internal policies to enable efficient and cost-effective supply chain operations.

This is an execution-focused role operating under the guidance of a Procurement Manager or Senior Manager.

Procurement Operations

Sourcing & Purchasing Support

• Create and manage a high volume of purchase orders end-to-end using MS Dynamics, ensuring accuracy and timely processing.
• Liaise with suppliers and internal stakeholders to coordinate purchases, delivery schedules, and commercial terms.
• Support sourcing activities across local and international gifting and FMCG markets.
• Execute procurement plans in line with KPIs, budgets, and operational targets.
• Monitor stock levels and support replenishment activities to ensure product availability.

Data Management & System Administration

• Maintain and update procurement records using MS Excel and ERP systems.
• Enter, verify, and reconcile procurement data to ensure accuracy and consistency.
• Conduct regular data quality checks and resolve discrepancies across systems.
• Prepare standard procurement reports and trackers for internal stakeholders.

Documentation & Process Support

• Organize and maintain procurement documentation, contracts, and supplier records.
• Support internal audits and compliance reviews through accurate record-keeping.
• Assist in developing and improving procurement tracking and documentation processes.
• Contribute to process optimization initiatives to enhance operational efficiency.

Collaboration & Stakeholder Coordination

• Work closely with procurement, finance, warehouse, and operations teams to ensure smooth execution of purchasing activities.
• Coordinate with internal stakeholders to understand procurement requirements and timelines.
• Maintain professional and confidential handling of sensitive procurement information.
• Support cross-functional initiatives related to sourcing and inventory planning.

Compliance & Risk Management

• Ensure adherence to internal procurement policies, contracts, and regulatory standards.
• Support supplier evaluation and performance monitoring activities.
• Assist in identifying and resolving supplier-related issues, delays, and risks.
• Monitor spending patterns, contract utilization, and consumption trends.

Supplier Communication & Reporting

• Maintain regular communication with suppliers to ensure timely delivery and quality standards.
• Support negotiations and vendor coordination under manager guidance.
• Provide regular updates to the Procurement Manager on order status, pricing trends, and supplier performance.
• Prepare operational reports and documentation for management review.

Qualifications & Experience

• Bachelor’s degree in Supply Chain Management, Business Administration, or a related field.
• 1–3 years of experience in procurement, purchasing, or supply chain roles.
• Experience in flowers, gifts, FMCG, or retail industries is preferred.
• Prior exposure to ERP systems (MS Dynamics preferred).
• Advanced proficiency in MS Excel and MS Office.
• Strong analytical, organizational, and data management skills.
• Excellent communication, coordination, and problem-solving abilities.
• Ability to work in a fast-paced, cross-functional environment.
