Essential Job Functions:
The main purpose of this position is to process civil/rent filings/pleadings in the Baltimore City Civil Division. Duties include preparing case files and reviewing documents for accuracy; preparing and typing dockets; indexing new cases; forwarding files to chambers for a ruling; updating case information in the system; typing court notices and transmittals; pulling files and filing back files/paperwork; preparing weekly docket counts; stripping and purging cases; and opening, sorting, and distributing mail. May occasionally train other staff as appropriate. Assist customers, attorneys, and other agencies in person and via the telephone and mail. Assist customers at the counter. Perform cashier functions on an as needed basis and other duties as assigned by management. The position may require telework, in which case a laptop will be assigned.
Essential Duties and Responsibilities:
Prepare case files and review documents for accuracy; prepare and type dockets; index new cases; forward files to chambers for a ruling; update case information in the system. Strip rent notices and civil cases; process warrants of restitution; process appeals; shift and purge files.
Type court notices and transmittals, pull files, and file back files/paperwork; prepare weekly docket counts; occasionally train other staff as appropriate.
Customer Service: Assist and answer questions from customers, attorneys, and other agencies by telephone and in person.
Open, sort, and distribute incoming mail.
Perform cashier functions on an as needed basis and other duties as assigned by management, consistent with the employee?s classification in any section or location of a particular District.
Minimum Qualifications:
Education: High school diploma (or GED equivalent).
Experience: One (1) year of work experience, preferably in court operations or in the fields of criminal justice, parole and probation, legal or financial services.
Note:
A Paralegal Certificate may substitute the required work experience.
Knowledge, Skills, and Abilities:
Knowledge of:
General office practices, procedures, and equipment.
Standard legal forms and documents used in the Judiciary.
Basic English and arithmetic to include, but not limited to, spelling, punctuation, addition, subtraction, multiplication, and division.
Skill in:
Customer service and handling problems tactfully and patiently.
Accuracy and attention to detail.
Ability to:
Use standard office and business equipment including, but not limited to, personal computers, word processing, spreadsheets, database software, copier, microfilm machine, register, scanner, fax machine, etc.
Use and maintain alphabetical and numerical filing systems.
Communicate clearly, tactfully, and effectively with judges, the public, police agencies, attorneys, and other court officials and personnel, both verbally and in writing.
Understand and abide by departmental rules, regulations, and procedures.
Exercise tact, diplomacy, and impartiality in dealing with the public, law enforcement personnel, and attorneys.
Follow procedures, verbal and written instructions, and protocols for any given assignment.
Use proper grammar, punctuation, and spelling.
Multitask and adapt to change in a fast-paced environment.
Physical Requirements:
Light work. Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated for light work.
Equipment, Machinery and Tools:
Personal computer and printer, laptop (for teleworking), fax machine, telephone, copy machine and use of step ladder. This equipment is used daily to complete work assignments and requirements for this position.
