Position: Junior Assistant / Assistant – Investment
We are recruiting on behalf of our client for a Junior Assistant / Assistant (Investment) to support the daily administrative and operational activities of the Investment Department. This role is well-suited for organized and detail-oriented professionals seeking experience in an investment or financial services environment.
Job Summary
The Junior Assistant / Assistant (Investment) will provide routine administrative, documentation, and coordination support to ensure the smooth functioning of the Investment Department. The role involves maintaining records, assisting with investment-related documentation, coordinating with external stakeholders, and supporting compliance and reporting requirements.
Key Responsibilities
Administrative & Documentation Support
- Maintain proper filing, indexing, version control, and retrieval of investment-related documents.
- Assist in drafting, formatting, and processing routine correspondence, reports, and internal notes.
- Ensure confidentiality of documents and sensitive information.
- Update and maintain databases, trackers, contact lists, and document registers.
- Maintain records in line with audit and compliance requirements.
Communication & Coordination
- Support internal communication through emails, memos, and notices.
- Coordinate with banks, custodians, brokers, consultants, and government offices for routine documentation and follow-ups.
- Track confirmations, acknowledgements, and pending responses.
- Assist in scheduling meetings and circulating agendas and supporting documents.
Investment Operations Support
- Maintain records of investment transactions, confirmations, settlement documents, and maturity details.
- Assist in reconciliation activities by compiling statements from banks and custodians.
- Maintain trackers for coupon/interest receipts and fixed deposit maturities.
- Support KYC documentation updates with banks, brokers, custodians, and counterparties.
- Monitor investment-related emails and route them to the concerned officers.
Compliance & Reporting Assistance
- Assist in compiling information for VAT submissions and regulatory compliance.
- Support preparation of routine MIS reports by collating data from multiple sources.
- Assist during internal and external audits by providing required documentation.
Skills & Competencies
- Basic to good written and verbal communication skills.
- Working knowledge of MS Office (Excel, Word, Outlook, PowerPoint).
- Strong organizational skills with attention to detail.
- Ability to follow instructions and work within defined procedures.
Qualifications & Experience
- Education: Plus Two (Higher Secondary) or Graduate in Commerce, Business Administration, or a related discipline.
- Experience:
- Junior Assistant: 1–2 years of relevant administrative or clerical experience.
- Assistant: 2–3 years of experience in administrative or finance/investment support roles.
