Position: Junior Assistant / Executive Assistant – New Business & Marketing

We are hiring on behalf of our client for a Junior Assistant / Executive Assistant (New Business & Marketing) to support administrative, new business, and marketing-related activities. This role is ideal for a highly organized professional with strong coordination skills and experience in insurance new business operations and marketing support.

Job Summary

The Junior Assistant / Executive Assistant (New Business & Marketing) will provide day-to-day administrative and clerical support while assisting the New Business and Marketing functions. The role involves document management, coordination with internal and external stakeholders, policy processing, MIS preparation, and support in AML/KYC and compliance-related activities.

Key Responsibilities

Administrative Support

  • Manage document version control, filing, and retrieval of records.
  • Assist in preparing official documents, letters, and reports.
  • Maintain confidentiality of all office documents and sensitive information.
  • Maintain and update confidential databases, contact lists, and project-related documentation.

Communication & Coordination

  • Support internal communication through memos, emails, and notices.
  • Coordinate with government offices, vendors, clients, consultants, and reinsurers as directed.
  • Ensure timely dissemination of information and follow-up on key decisions.

New Business & Marketing Support

  • Data entry, processing, completion, and issuance of new business policy documents.
  • Correspondence with reinsurers and support for AML/KYC verification prior to onboarding.
  • Policy verification, corrections, printing of policy documents and FPR, and callback activities.
  • Maintain policy delivery registers and track proposal deposits and refunds.
  • Prepare medical bill documentation and follow-ups.
  • Compile, analyze, and communicate MIS reports.
  • Provide support for customer and agent portals and liaise with legal consultants.
  • Assist with competition and incentive processing, MDRT coordination, and new business budget reviews.
  • Support the Deputy MLRO in AML/KYC-related activities.

Skills & Competencies

  • Strong written and verbal communication skills.
  • High proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and modern productivity tools.
  • High attention to detail and accuracy in documentation and correspondence.
  • Ability to multitask and work under deadlines.

Qualifications & Experience

  • Education: Bachelor’s degree in Business Administration, Commerce, or a related discipline.
  • Experience: Preferably 5–7 years of relevant experience in administrative, new business, or marketing support roles, ideally within the insurance sector.
