The Finance Associate is responsible for maintaining accurate financial records, ensuring timely reporting, and supporting day-to-day finance operations of the organization. The role includes bank and cash reconciliations, invoice processing, inventory reconciliation, petty cash management for Corporate and Store staff, utility payments, and preparation of financial and MIS reports. The position works closely with the Line Manager, HRD, Stores, Operations, and other departments to ensure smooth financial and inventory control operations.
Key Responsibilities
1. Daily Reporting and Reconciliation
- Prepare and send the Daily Revenue Report after completing invoice cancellations
- Perform DCR posting and close the previous day’s collections in the system
- Report daily short and excess collections
- Conduct daily bank, cash, and petty cash reconciliation
- Update daily receipts and payments in Google Sheets
2. Invoice and Payment Processing & Bank Transfers
- Review and post supplier invoices (Clinic, Pharmacy, Lab, and Direct Invoices)
- Verify Supplier Statements of Account (SOA) and initiate payment transfers to suppliers
- Process all other bank transfers, including rent, staff allowances, other bills, and recurring payments
- Review and post customer invoices, credit notes, and receipts
- Ensure accurate and timely customer receipt posting and reconciliation
3. Petty Cash Management
- Manage petty cash operations
- Ensure all petty cash payments are supported with proper bills, approvals, and authorization
- Perform regular petty cash reconciliation and submit for review
- Monitor petty cash limits and arrange timely replenishment
- Ensure compliance with internal controls and audit requirements
- Coordinate with HRD and Stores for staff-related petty cash expenses
4. Utility and Recurring Payments
- Ensure timely payment of utility bills (telephone, water, electricity) for clinics and accommodations
- Track recurring expenses and ensure timely posting in the system
5. Financial Data and Reporting
- Send data for Incentive Calculations immediately after invoice submission
- Provide Revenue-Based Salary data on the 1st working day of every month
- Submit Monthly Cash Flow data on the 1st working day of each month
- Provide Direct Cash Flow within five working days of every month
- Submit Month-End Profitability data by the 3rd working day of every month
- Prepare and share Data for MIS and profitability reports
6. Coordination and Communication
- Coordinate with Line Manager and HRD for staff-related payments and deductions
- Send daily bank statements to the Cochin office for DFR preparation
- Coordinate with Stores, Operations, and other departments for finance-related matters
7. Records Maintenance
- Maintain and update the Fixed Assets Register
- Maintain the PD Cheque Register
- Track and maintain records of staff accommodation occupancy
8. Accruals and Provisions
- Post all relevant accruals and provisions accurately and on time
- Ensure completeness of month-end and year-end provisions
9. Staff Payroll and Deductions
- Manage salary advances and loan deductions
- Support payroll-related data coordination with Line Manager & HRD
Skills & Competencies
- Strong accounting and reconciliation skills
- Experience in inventory and petty cash control
- Good knowledge of healthcare finance operations
- Proficiency in MS Excel and ERP/HIS systems
- Attention to detail and strong analytical ability
- Good coordination and communication skills

Experience & Qualification
- Bachelor’s/master’s degree in commerce
- 2-3 years of relevant finance experience
- Healthcare or multi-branch experience preferred
