Junior Cost Controller (F&B)

Position Title: Cost and Inventory Controller

Reports To: Finance Manager / Cost Control Manager

Job Summary

The Cost and Inventory Controller is responsible for managing and optimizing all aspects of food and beverage cost control and inventory management. This role ensures cost accuracy, maintains optimal stock levels, and enforces compliance with company standards. The position plays a critical role in driving profitability, reducing waste, and supporting effective financial and operational controls.

Key Responsibilities1. Cost Control & Analysis

  • Monitor and analyze daily food and beverage costs to ensure alignment with budget targets.
  • Prepare daily, weekly, and monthly cost variance and consumption reports.
  • Evaluate recipes, portion sizes, and yields to maintain cost efficiency.
  • Identify and recommend cost-saving initiatives while maintaining product quality and standards.
  • Ensure proper accounting for wastage, breakage, and staff meals.
  • Assist management in developing and implementing cost control policies and procedures.

2. Inventory & Stock Management

  • Supervise and coordinate monthly and quarterly physical stock counts across all outlets and stores.
  • Verify inventory transactions (receipts, transfers, returns, and issues) to ensure accurate system entries.
  • Investigate and resolve stock variances with corrective actions.
  • Maintain up-to-date and accurate inventory records, reconciling regularly with accounting data.
  • Collaborate with procurement and warehouse teams to ensure optimal stock levels and prevent overstocking or shortages.
  • Monitor shelf life, storage conditions, and stock rotation to minimize spoilage and losses.

3. Purchasing & Receiving Coordination

  • Work closely with purchasing and receiving departments to verify product quality, quantity, and pricing.
  • Ensure all received goods are properly documented and recorded in the inventory system.
  • Review supplier invoices for accuracy and compliance with purchase orders and contracts.
  • Track price fluctuations and assist in negotiating favorable terms with vendors.

4. Reporting & Documentation

  • Prepare timely and accurate cost and inventory reports for management review.
  • Assist in the preparation of budgets, forecasts, and cost analyses.
  • Support internal and external audits by providing relevant documentation and reconciliations.
  • Ensure all cost and inventory control records are well-organized and securely maintained.

5. Systems & Compliance

  • Maintain and update food and beverage cost control systems (e.g., Material Control, SAP, Micros, or similar).
  • Ensure compliance with company financial policies, internal controls, and audit standards.
  • Train relevant staff on cost control, inventory handling, and system operations.
  • Continuously improve processes related to inventory management and cost reporting.

Qualifications & Skills

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
  • 3–5 years of relevant experience in cost and inventory control, preferably in the F&B or hospitality industry.
  • Strong knowledge of cost accounting, inventory management principles, and control systems.
  • Proficiency in MS Excel and ERP/software systems (e.g., Oracle, SAP, or Material Control).
  • Excellent analytical, problem-solving, and communication skills.
  • High attention to detail, accuracy, and integrity in reporting.
