Junior Front Office Executive

Job Summary

We are seeking a professional and customer-focused Junior Front Office Executive with 1–3 years of experience to manage front desk operations and provide administrative support. The ideal candidate will be the first point of contact for visitors, clients, and employees, ensuring a positive and professional experience while supporting the smooth day-to-day functioning of the office.

Key Responsibilities

  • Greet and assist visitors, clients, and guests in a courteous and professional manner.
  • Manage incoming calls, emails, and correspondence, directing inquiries to the appropriate departments.
  • Maintain visitor records, access logs, and reception documentation.
  • Coordinate meeting room bookings and assist with meeting arrangements.
  • Handle incoming and outgoing mail, courier services, and deliveries.
  • Support administrative tasks including data entry, filing, document preparation, and record management.
  • Ensure the reception area and common office spaces remain organized and presentable.
  • Coordinate with internal departments to facilitate smooth office operations.
  • Monitor office supplies and raise purchase requests when necessary.
  • Assist in organizing company events, meetings, and employee activities.
  • Address routine inquiries and escalate complex issues to the appropriate personnel.

Requirements

  • Bachelor's degree or diploma in Business Administration, Hospitality, Commerce, or a related field.
  • 1–3 years of experience in front office, reception, customer service, or administrative roles.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong verbal and written communication skills.
  • Professional appearance and customer-oriented attitude.
  • Good organizational and multitasking abilities.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong attention to detail and problem-solving skills.
