Position Summary

Responsible for supporting the overall planning and coordination of various Kootenai Care Network (KCN) programs or projects, documenting and maintaining policies and procedures, and organizing the activities of the business. Provides direct administrative support to the KCN Executive.


Responsibilities

  • Performs a wide variety of complex and confidential executive support work

  • Assists KCN Operations Manager with planning and coordination of programs and activities

  • Monitors implementation of program policies and practices, keeping on schedule, within stated budgets and functioning smoothly

  • Supports program growth and development as necessary

  • Manages KCN executive calendar, correspondence, and meeting logistics with precision, and interprets executive preferences and adapts workflows accordingly

  • Coordinates positive interactions and relationships between staff and all other program stakeholders

  • Assists with preparation of financial and operational reports as needed

  • Coordinates agendas, materials, and documentation for executive-sponsored governance committees or programs

  • Processes invoices, reimbursement requests, and purchase orders in systems; supports budget tracking and reconciliation as needed

  • Oversees the use of technology for program operations, such as video conferencing technology, presentation software and other communications technologies

  • Must have the ability to work both independently and collaboratively

  • Models adaptability and composure amid change, maintaining focus on long-term goals

  • Seeks opportunities to streamline processes and strengthen operational systems within executive support

  • Provides executive-level decision support by preparing context, synthesizing information, and ensuring timely readiness for executive decision-making

  • Tracks key deliverables and follow-up items to ensure accountability and progress toward organizational goals

  • Partners with assigned executives to understand goals, priorities, and current initiatives

  • Relies on experience and judgment to plan and accomplish goals

  • Regular and predictable attendance is an essential job function

  • Performs other related duties as assigned

  • Competent to meet age-specific needs of the unit assigned

Requirements and Minimum Qualifications

  • Associates degree or equivalent work experience and education required; Bachelors in HealthCare Administration preferred

  • 3 years’ experience in providing program or administrative support required

  • Previous payor experience including payor workflows, network development, quality improvement, and credentialing preferred

  • Knowledge of web-based navigation and technology preferred

  • Previous Population Health process experience preferred

  • Knowledge of Accountable Care Organizations

  • Excellent written and oral communication skills

  • Experience with proof-reading and editing

  • Proficient with Microsoft 365 (Outlook, Teams, SharePoint, OneNote, Loop, Power Automate, Excel, Word, PowerPoint)

  • Must be extremely organized

  • Must be skilled in handling time-sensitive and confidential matters

Working Conditions

  • Must be able to lift and move up to 25 lbs

  • Must be able to maintain a sitting position

  • Typical equipment used in an office job

  • Repetitive movements
