Job Overview
We are seeking a bi-lingual (English/Spanish) professional Law Firm Receptionist to serve as the welcoming face of our legal practice. This vital role involves managing front desk operations, providing exceptional customer service, and ensuring smooth administrative workflows. The ideal candidate will be highly organized, personable, and proficient with office technology, ready to support both clients and staff with enthusiasm and efficiency. Responsibilities

  • Communicate with potential clients and route calls to the appropriate legal staff
  • Greet and assist visitors, ensuring a welcoming and professional environment
  • Retrieve voicemail messages and forward them to appropriate personnel
  • Take and deliver messages or transfer calls to voicemail when necessary
  • Provide general information about the firm, including directions and office details
  • Manage and order office supplies
  • Manage and order kitchen supplies
  • Maintain conference room calendars and scheduling
  • Prepare conference rooms for meetings and Zoom meetings
  • Receive, sort, and scan incoming mail
  • Process outgoing mail and track postage charges
  • Assist legal staff with printing, scanning, and preparation of outgoing materials, including demand packages for offsite employees
  • Prepare materials for weekly attorney meetings
  • Provide administrative support to the Firm Administrator
  • Perform other clerical and administrative duties as assigned

Qualifications

  • Bilingual - English/Spanish
  • Proven experience in front desk operations within an office or legal environment is preferred.
  • Strong computer literacy with proficiency in Microsoft Office Suite, data entry.
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting.
  • Exceptional communication skills with a focus on phone etiquette; bilingual abilities are a plus.
  • Previous clerical or administrative experience demonstrating attention to detail and proofreading skills.
  • Proficiency with office equipment (multi-line phones, scanners, printers)
  • Personal assistant or customer service experience is advantageous for supporting attorneys and clients effectively.

Pay: $40,000.00 - $45,000.00 per year
