Lead Facilities Associate

Responsibilities:

  • Hours of Operation 8:00am to 5:00pm
  • Front Desk/Reception responsibilities (Check in all visitors/vendors to sign in book with visitor passes and contact the appropriate employee to meet the visitor.)
  • Setup/restocking of all the kitchens/café's in all buildings
  • Sort and deliver USPS Mail to office staff
  • Sort and deliver Accountable Mail ( UPS, FedEx etc)
  • Manage Outgoing package pick up
  • Maintain Office Supply Closet
  • Manage Stamps.com / Process outgoing mail
  • Provide Chain of custody for incoming packages (As needed for corporate personnel)
  • Process / order supplies for Cafe and office supplies Via Ariba
  • Maintain contractor and vendor relationships by communicating planned maintenance and current projects, service requests, invoicing, training programs, equipment, etc.
  • Prepare Office and Desk Name plate(s)
  • Assist with Corporate Forms /Templates, including but not limited to, Business Cards, Special Office Supply request(s)
  • Event Support and Planning (within Lupin Liability Safeguards)
  • Provide meeting support and planning, including but not limited to, set up of Conference Rooms...
  • Provide Procurement, Invoice reconciliation (Staples/FedEx) - Finance support (OpenText Invoicing /SAP Receiving)
  • Follow Safety Guidelines


Qualifications:

  • High school diploma or equivalent preferred.
  • Minimum of 4-5 Mail services related experience preferred with knowledge of commonly used Office Services procedures.
  • Excellent customer service skills; must possess a "can do" attitude.
  • Excellent communication skills both verbal and written.
  • Excellent computer Skills
  • Ability to effectively work individually or in a team environment.
  • Competency in performing multiple functional tasks.
  • Ability to handle mail or hand cart, as well as flatbed.
  • Must be able to lift up to 50 pounds.
  • Knowledge of using UPS, FedEx,shipping methods.
  • Assertive and resourceful; self motivated; willing to ask questions and take initiative be able to communicate clearly.
  • Consistently demonstrates professional demeanor, appearance and attitude.
