Overview
As a Lease Contracts Manager, your role will be to oversee and manage the lease contracts for our company's rented shops in different malls. You will be responsible for various tasks related to lease contract management, contract maintenance and archiving, communication with lessors, and providing internal information about the leased stores. Your primary focus will be on ensuring the smooth operation of lease contracts and compliance with their terms and conditions.
Responsibilities
- Lease Contract Management:
- Review and analyze lease contracts to understand their key provisions and obligations.
- Monitor lease expiration dates and proactively initiate renewal or termination discussions.
- Understand and communicate important clauses related to rent escalations, options to extend, and rights to sublease or assign the lease.
- Track and manage any required notices, such as rent increases or lease terminations.
- Contract Maintenance and Archive:
- Maintain a centralized and organized system for storing and retrieving lease contracts and related documents.
- Regularly update lease contract records to reflect any changes or amendments.
- Ensure the accuracy and completeness of lease contract documentation, including signed copies and supporting correspondence.
- Keep track of insurance certificates, security deposits, and other critical lease-related documents.
- Communication with Lessor:
- Serve as the primary point of contact for lessors regarding lease-related matters.
- Establish and maintain positive relationships with lessors to facilitate smooth communication and address any concerns or issues.
- Coordinate and schedule meetings with lessors to discuss lease contract terms, renewals, modifications, or disputes.
- Negotiate lease terms and conditions, including rental rates, lease extensions, or early terminations when necessary.
- Internal Information Provision:
- Provide internal stakeholders with timely and accurate information from lease contracts.
- Communicate lease contract details, such as lease duration, rent amounts, renewal options, and termination clauses, to relevant departments.
- Collaborate with finance and accounting teams to ensure accurate recording and tracking of lease-related financial obligations.
- Support internal teams in making informed decisions based on lease contract terms and conditions.
- Lease Compliance and Risk Management:
- Monitor lease-related obligations and ensure compliance with contractual terms.
- Identify and mitigate potential risks associated with lease contracts.
- Stay updated on changes in laws and regulations affecting lease agreements and ensure adherence.
- Advise management on potential risks and opportunities related to lease contracts.
- Lease Portfolio Analysis:
- Conduct regular analysis of the lease portfolio, including lease terms, rental rates, and overall performance.
- Identify opportunities for cost savings, lease optimization, or consolidation.
- Provide insights and recommendations to senior management regarding lease portfolio strategies.
- TORS Sales Reporting:
- Maintain and report the Lessor TORS report based on agreed terms.
- Collaborate with accounting team on obtaining Sales data information and confirming it with internal audit dept, prior to sharing with Lessor
- Archiving physically and systematically the reported data for any future reference or use.
Qualifications and Skills
- Strong understanding of lease contracts, commercial real estate, and legal terminology.
- Proven experience in lease contract management or a related field.
- Familiarity with relevant laws and regulations governing lease agreements.
- Excellent analytical and problem-solving skills.
- Exceptional attention to detail and ability to review and comprehend complex contractual language.
- Strong negotiation and communication skills, both written and verbal.
- Proficiency in using contract management software and other relevant tools.
