What You'll Be Doing
- Legal Document Expertise: Craft, revise, and manage legal documents like a pro, using Microsoft Word, Excel, Adobe Acrobat, DocuSign, Box. (Yes, we're talking serious word processing skills including document conversions!)
- Organization Guru: Keep our electronic and hardcopy files and documents in tip-top shape, following firm guidelines and practice area procedures and take the initiative to streamline and improve workflows.
- Matter and Conflict Check Kickoff: Own the first steps to kick off conflict checks and open new matters to keep our legal teams moving forward.
- Attorney Support: Coordinate day-to-day operations, taking initiative and using your keen judgment to keep things running smoothly and address potential issues.
- Time & Billing Liaison: Handle time entries for select attorneys (entry to finalizing) to meet monthly deadlines, work with our billing team to ensure accuracy with billing matters, and assist select attorneys with electronic billing protocols for certain clients.
- Calendar & Travel Coordination: Manage calendars and coordinate meetings and events.
- Project Pro & Information Sleuth: Juggle multiple projects (often with tight deadlines) and adapt to changing priorities like a champ. Use your detective skills to ferret out details and information from various sources, piecing together the puzzle to keep assignments and projects on track.
- Tech Savvy: Use various software and tools to support our team's efficiency (think scanning, DocuSign bulk send/bulk uploads, Adobe, Litera/Workshare Compare, Box, and more!), and take the initiative to learn new technologies and find solutions to technical challenges.
- Team Collaborator & Self-Motivated Contributor: Assist with special projects and other duties as needed, always with a positive and proactive attitude, and contribute meaningfully by taking ownership of your tasks with a high level of self-motivation
What You'll Bring
- A minimum of 2 years of experience as a legal, administrative, or executive assistant, ideally in a law firm or professional services setting.
- Bachelor’s degree preferred
- Bonus points for working knowledge of the Commercial Real Estate practice area!
- Advanced proficiency in Microsoft Office (Word, Excel, Outlook) – your Word skills should absolutely be top-notch!
- Expertise in PDF manipulation software (Adobe preferred).
- Experience with document management systems (iManage, Elite 3E, File Trail) and electronic billing systems are a plus.
- Exceptional organizational skills and a keen eye for detail.
- Strong proofreading abilities.
- A proactive, energetic, and team-oriented spirit.
- Excellent interpersonal and communication skills.
- The ability to stay cool under pressure and handle confidential information with discretion.
- Ability to work onsite, Monday through Friday, 37.5 hours per week, within the hours of 8:30am-6:00pm, with overtime when necessary. (Preferred schedule: 8:30am – 5:00pm or 9:00am – 5:30pm)
- Ability to perform standard office related physical tasks. (i.e., prolonged sitting, standing, repetitive finger motion, computer usage, routine walking, bending and lifting up to 20 lbs.)
