Legal Administrative Assistant / Receptionist (Part-Time)
Hartford-based personal injury law firm

We are a Hartford-based personal injury law firm seeking a dedicated and detail-oriented Legal Administrative Assistant / Receptionist to join our team. This position requires strong organizational skills, the ability to manage multiple tasks efficiently, and a commitment to providing high-quality support to both attorneys and clients.

This is a part-time position with flexible hours. Prior legal experience is not required.

Position Overview

This role supports the firm’s daily operations by providing legal administrative assistance, along with backup support for front-desk and client-facing functions.

Key Responsibilities

Legal Administrative Assistant Duties:

  • Request medical records and billing statements from third-party vendors
  • Assist in gathering information and documentation for claim setup via telephone
  • Obtain explanations of benefits (EOBs), medical invoices, statements, payments, and adjustments
  • Upload medical records and billing documents into the firm’s file management system using assigned team codes
  • Assist in documenting medical and lien information in case summaries and lien/letter of protection systems
  • Assist in processing and reviewing medical bills
  • File documents into physical (paper) case files

Receptionist Duties:

  • Greet visitors, offer refreshments, and provide exceptional customer service
  • Answer and manage a multi-line telephone system
  • Process and perform data entry for incoming mail
  • Monitor the morning call-in system for absenteeism and tardiness reporting
  • Schedule appointments and manage conference room bookings
  • Review and verify next-day appointments in the firm calendar
  • Perform additional administrative duties as assigned

Qualifications

  • Strong customer service skills with a professional demeanor
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple tasks and priorities effectively
  • Intermediate proficiency in Microsoft Office (Word, Excel, Outlook)
  • Strong written and verbal communication skills
  • Ability to work independently and collaboratively in a team environment
  • Prior law office experience is preferred, but not required

Education and Experience

  • Associate’s or Bachelor’s degree preferred, but not required
