Position Summary
We are seeking a seasoned Legal Administrator to oversee day-to-day office operations and provide hands-on secretarial/admin support to attorneys. The ideal candidate thrives in a small firm environment, excels at calendar control and process management, and is highly technology savvy in a paperless setting.
Key Responsibilities
- Office & Operations Management:
- Manage office procedures, vendors, records, invoicing, receipts, client development efforts; maintain paperless file systems and organizational standards.
- Develop and refine administrative workflows, checklists, and templates to streamline operations.
- Calendar & Deadline Control.
- Maintain attorney and firm calendars; schedule hearings, depositions, client meetings; track litigation deadlines and reminders.
- Legal/Secretarial Support:
- Draft, format, proof and send correspondence, pleadings, discovery, and routine court filings.
- Open/close matters, organize case files, and assist with e-filing in Arkansas state and federal courts.
- Answer phones, route communications, manage mail (electronic), and support client intake.
- Technology & Paperless Workflow:
- Use cloud-based document management, calendaring, and practice tools; scan/index documents; ensure consistent digital naming and folder structures.
- Troubleshoot routine tech issues; liaise with IT/vendor support when necessary.
- Billing & Administrative Coordination (as needed):
- Assist with time entry, pre-bills, and expense tracking; maintain matter-level administrative data and reporting.
Required Qualifications
- 3-5 years of experience in a legal administrator, office manager, or senior legal assistant/secretarial role (law firm experience strongly preferred).
- Demonstrated organizational excellence, accuracy, and follow-through in a deadline-driven environment.
- Strong initiative—able to anticipate needs, improve processes, and work independently with minimal supervision.
- Proven calendar management skills for litigation matters and team scheduling.
- Hands-on office management experience (vendors, supplies, procedures, file systems).
- Highly technology savvy and comfortable in a paperless office: document management, PDF tools, scanning/indexing, shared drives, and cloud applications.
- Advanced proficiency with Microsoft 365 (Word, Outlook, Excel, Teams/SharePoint) and PDF/e-filing tools.
- Excellent written and verbal communication; professional client service.
Preferred (Not Required)
- Insurance defense or civil litigation experience.
- Familiarity with Arkansas e-filing, local rules, and court procedures.
- Experience with practice management/billing software (e.g., Clio, PracticePanther, TimeSolv, or similar).
