Axios Professional Recruitment is partnered with a local law firm, who is actively looking to hire a qualified Legal Assistant. The ideal candidate will be highly professional and self-motivated, will hold legal experience, be well-organized, tech savvy, friendly, and more.
Under general supervision and according to established policies and procedures, the Legal Assistant performs a variety of secretarial duties for attorneys to whom assigned. Maintains positive contact with clients, attorneys and staff and observes confidentiality of client matters.
Responsibilities:- Operates a computer, typewriter, photocopier, hole punch, facsimile and postage meter; transcribes dictation (machine transcription).
- Types correspondence, memoranda and other legal documents; drafts standard correspondence, memoranda and other documents.
- Prepares documents for filing with the court system by ensuring all deadlines are met and appropriate filing procedures are followed.
- Screens telephone calls, records messages and answers caller questions as appropriate.
- Screens, prioritizes and notes date received and project dates on incoming mail. Ensures that outgoing mail is timely delivered.
- Establishes and maintains calendar and deadline/diary reminder systems.
- Initiates case files by ensuring a case number is assigned and a new file information sheet is completed.
- Maintains case files by organizing file materials and reminding attorney (s) of deadlines and case changes.
- Receives clients and visitors; maintains good public relations with clients; observes confidentiality of attorney-client relationship.
- Schedules and/or confirms all appointments for attorney(s).
- Schedules all case related appointments such as IME's meetings, depositions, discovery deadlines, etc.
- Ensures that secretarial and assigned attorney time tickets are entered into computerized billing system.
Qualifications:- Minimum of 1 year of legal support experience.
- Ability to read and write in order to proof and perform minor editing (e.g., punctuation, grammar, spelling) of routine law office correspondence and legal case matters. Perform non-complex arithmetic calculations when verifying calculations on forms and documents; maintain records and filing systems.
- Ability to transcribe legal documents, correspondence and reports from rough draft, dictation or transcription at a level of 70 wpm.
- Ability to organize and prioritize numerous tasks and complete them under time constraints.
- Ability to proofread typed material for grammatical, typographical or spelling errors.
- Interpersonal skills necessary to communicate and follow instructions effectively from a diverse group of clients, attorneys and staff and provide information with ordinary courtesy and tact.
- Interpersonal skills necessary to communicate by phone and provide information with courtesy and tact.
- Work occasionally requires a high level of mental effort and strain while producing a high volume of information performing other essential duties.
- Work occasionally requires more than 40 hours per week to perform the essential duties of the position; may require irregular hours.
