The Legal Assistant provides comprehensive administrative and litigation support to attorneys and case teams. This role is responsible for court filings, service of process, calendaring, records coordination, trial preparation, and case closure. The Legal Assistant is overall responsible for enforcing deadlines within the legal team and ensuring matters progress efficiently while maintaining accuracy, compliance, and consistent professional communication. This role also includes maintenance of each matter within the firm’s system, including all documents and case information.
Responsibilities:
Litigation & Attorney Support

Assist attorneys and paralegals with day-to-day litigation tasks

Assist attorneys in preparing for depositions, hearings, mediations, trials, and conferences

Draft legal documents including notices, motions, subpoenas, affidavits, and correspondence

Compile and organize documents; prepare hearing and trial binders/folders

Gather and organize records, documents, and evidentiary materials

Coordinate and track service of process
Court Filings & Compliance

E-file legal documents in Florida’s E-Portal System and federal court systems (ECF)

Ensure compliance with Florida Rules of Civil Procedure, Federal Rules of Civil Procedure, and other applicable state rules
-
Monitor, track, and enforce litigation deadlines and maintain accurate calendaring of court-related events
Scheduling & Calendaring

Maintain attorney calendars with strict attention to deadlines

Schedule hearings, pre-depositions, depositions, mediations, conferences, and meetings using various court and scheduling systems

Coordinate CourtCall, Microsoft Teams, Zoom, and other virtual platforms

Update files with case status and procedural deadlines
Administrative, File & System Management

Maintain and organize electronic case files

Maintain each matter within the firm’s case management system, ensuring all documents, deadlines, and case information are accurate and up to date

Serve as the primary point of accountability for monitoring and enforcing all litigation deadlines across assigned matters.

Update case management systems with accurate notes and status updates

Coordinate meetings and appointments

Answer and direct telephone calls professionally

Prepare and send correspondence via email, regular mail, and certified mail

Support case closure by ensuring files are complete and properly documented

Perform any other tasks as assigned by management
Qualifications:-
2–3+ years of experience as a Legal Assistant in a litigation setting

Strong knowledge of the litigation process and court procedures

Understanding of Florida and Federal Rules of Civil Procedure and/or other state court rules

Experience with electronic filing in state and federal courts

Working knowledge of a legal case management and document management system

Advanced proficiency in Microsoft Office (Outlook, Word, Excel) and Adobe

Experience with trial preparation

Familiarity with legal procedures and terminology

Excellent typing, organizational, and document management skills

Strong verbal and written communication skills

Ability to work independently and collaboratively
