Job Overview
The Legal Assistant provides high-level administrative and legal support to multiple attorneys to ensure the effective and efficient management of client matters. This position requires exceptional organizational skills, discretion, attention to detail, and the ability to prioritize competing deadlines in a fast-paced legal environment.
Responsibilities
Attorney Support
- Provide direct support to a Shareholder and multiple associate attorneys in managing active caseloads
- Draft, revise, format, and proofread legal documents and correspondence
- Prepare pleadings, motions, discovery requests and responses, contracts, and other legal filings
- Coordinate and manage attorney calendars, including court appearances, depositions, meetings, and deadlines
- Maintain accurate docketing and monitor critical deadlines
Court & Filing Responsibilities
- Prepare and electronically file documents in state and federal courts
- Coordinate service of process and track filings and confirmations
- Organize exhibits, binders, and materials for hearings, depositions, mediations, and trial
Client & Case Management
- Serve as a professional point of contact for clients and opposing counsel
- Manage case files (electronic and physical) to ensure accuracy and completeness
- Assist with document collection, organization, and production
- Maintain strict confidentiality of client and firm information
Administrative Support
- Schedule meetings and coordinate logistics
- Prepare expense reports and assist with billing support as needed
- Track time and assist with pre-bill review
- Support general office and practice group administrative needs
Qualifications
- 2+ years of experience as a legal assistant (litigation and/or transactional experience preferred)
- Strong knowledge of court procedures and e-filing systems
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel)
- Experience with document management and timekeeping/billing software
- Excellent written and verbal communication skills
- Strong organizational and multitasking abilities
