Job Title: Legal Assistant

Job Summary

We are seeking a highly organized and proactive Legal Assistant to support our legal team. The ideal candidate will handle administrative tasks, manage client communication, draft legal documents, and maintain case files. This role is critical to ensuring the smooth operation of the office and allowing attorneys to focus on case strategy and court appearances.

Key ResponsibilitiesAdministrative Support

  • Manage attorney calendars, including scheduling depositions, meetings, court deadlines, and client appointments.
  • Answer phone calls, screen clients, take messages, and respond to routine inquiries.
  • Open, organize, and maintain physical and electronic filing systems.
  • Process incoming and outgoing mail, including certified mail and legal courier services.

Document Preparation & Management

  • Draft, proofread, and format legal correspondence, pleadings, motions, subpoenas, and contracts.
  • Prepare legal documents for filing (e.g., Table of Contents, Table of Authorities, exhibit binders).
  • E-file documents with state and federal courts (via PACER, or state-specific portals).
  • Assist with discovery: organize document productions, prepare discovery requests/responses, and manage exhibits.

Client & Case Management

  • Conduct initial client intake interviews and gather relevant case information.
  • Maintain case databases and timekeeping/billing records.
  • Communicate with clients, opposing counsel, court personnel, and expert witnesses.
  • Manage conflict checks and client engagement letters.

Billing & Timekeeping

  • Enter attorney billable hours into accounting software.
  • Generate client invoices and follow up on outstanding payments.
  • Prepare expense reports and manage reimbursements.

QualificationsEducation & Experience

  • High school diploma required; Associate’s or Bachelor’s degree preferred.
  • Paralegal certificate from an ABA-approved program is a plus.
  • 1+ years of legal assistant or paralegal experience .

Technical Skills

  • Proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint).
  • Experience with legal software: [e.g., Clio, MyCase, LexisNexis, Westlaw, Relativity] .
  • Knowledge of court filing systems (e-file, CM/ECF).
