Legal Assistant

Job Overview
We are seeking a highly motivated and detail-oriented Legal Assistant to join our dynamic legal team at our Newport Beach office. This vital role offers an exciting opportunity to support our Trust Litigation practice as well as other practice areas our firm supports across the state of CA. The ideal candidate will be energetic, organized, and possess a strong passion for administrative excellence and attention to detail. As a Legal Assistant, you will play a key role in managing legal documents, e-filing, managing calendars and statutory deadlines, and providing administrative support to ensure the smooth operation of our law office. This full-time onsite position is perfect for someone eager to grow their legal career while contributing to impactful legal work.

Duties

  • Provide administrative and coordination support to attorneys and paralegals for all our litigation matters.
  • Prepare, review, and proofread legal documents including contracts, pleadings, briefs, and correspondence with meticulous attention to detail.
  • Manage legal case files and document management systems like Clio to ensure accurate filing, data entry, and document review.
  • Support project management initiatives by coordinating deadlines, scheduling appointments, and organizing case-related activities efficiently.
  • Conduct client interviews and document collection through effective interviewing techniques to facilitate case preparation.
  • Maintain professional communication via phone etiquette with clients, courts, vendors, and internal teams while providing executive administrative support as needed.
  • Assist with litigation processes by organizing evidence, preparing discovery documents, and supporting trial preparations.
  • Perform administrative tasks such as filing, data entry, transcription of legal proceedings or meetings, proofreading documents for accuracy, and managing incoming and outgoing correspondence.

Qualifications

  • Prior legal administrative experience in a fast-paced law office environment.
  • Preferred candidates will possess a strong knowledge of defined or adjacent practice areas including Trust Litigation, Probate and Trust Administration and Estate Planning
  • Excellent organizational skills with the ability to manage multiple priorities effectively while maintaining high accuracy standards.
  • Exceptional writing skills for drafting legal documents and correspondence; keen proofreading abilities to ensure error-free work.
  • Strong interpersonal skills with professional phone etiquette; ability to interview clients effectively for case development.
  • Knowledge of project management tools and experience supporting litigation or transactional cases is preferred.
  • Ability to adapt quickly to new technologies such as Westlaw or Legal Case Management software; comfort with data entry and clerical tasks essential for success in this role.

Pay: $26.00 - $32.00 per hour

Experience:

  • Legal Assistant or Legal Secretary: 3 years (Required)
