About the Indiana Office of Administrative Law Proceedings (OALP):
The Indiana Office of Administrative Law Proceedings (OALP) was established as a new state agency in 2020 to provide a central and independent hearings process for administrative cases with different Indiana State agencies. OALP has a staff of administrative law judges (ALJs) who hear disputes between certain state agencies and persons aggrieved by that agency’s action, as well as a team of Legal Assistants (LAs) who assist our ALJs with case management and data. Some of the state agencies for which OALP hears cases include the Family and Social Services Administration (FSSA), the Department of Child Services (DCS), and the Bureau of Motor Vehicles (BMV). Role Overview:
As a Legal Assistant, you will be responsible for providing administrative support to Administrative Law Judges, primarily by:

scheduling hearings,
-
reviewing legal documents,
-
filing documents into a case management system,
-
entering data, and
-
other case management tasks.
To succeed in this role, candidates should: (1) have firm and/or court experience, (2) understand legal process and terminology, (3) have an attention to detail to maintain accurate records, (4) be a critical/analytical thinker and problem solver, (5) be proficient with technology/computer programs (Outlook, Word, Excel, Adobe), (6) be a resilient team player. Ideally, we are looking for candidates with prior experience/training as a legal assistant or paralegal in a fast paced environment.
Salary Statement:
The salary for this position traditionally starts at $39,000.00 but may be commensurate with education or work experience.
The essential functions of this role are as follows:

Provides administrative and legal support to attorneys and legal divisions.

Performs legal research under the direction of staff counsel or administrative law judge.

Assists at depositions and hearings by taking notes, providing follow-up questions to attorneys, and keeping track of documents.

Prepares, proofreads, or processes legal documents, such as summonses, subpoenas, complaints, appeals, motions, or pretrial agreements.

Mails, faxes, or arranges for delivery of legal correspondence to clients, witnesses, and court officials.

Receives and responds to inquiries regarding current hearings from attorneys, legislators, or clients by telephone, email, and/or correspondence.

Schedules hearing dates and sites, makes appointments, and manages calendars.

Travels to hearing sites, sets up site, materials, and equipment.

Organizes and maintains law libraries, database systems, documents, and case files.

Ability to provide effective and professional customer service to internal and external parties.
A degree is not required. However, a a High School Diploma or High School Equivalent (HSE) and experience applying the outlined knowledge, skills, and abilities in a similar role may be considered.

This role may be utilized in a supervisory capacity based on agency needs.
