Dodd DelCollo LLP, has a great opportunity for an experienced California Calendar Clerk/ Legal Assistant (hybrid position) to join our team.

This is a temporary fully remote position. Employment Duration: Early December (2025) to Late March (2026)

Must be tech savvy.

Position Purpose: Provides administrative support to attorneys. This is a hybrid position for an experienced Legal Assistant/ Calendar Clerk.

Legal Assistants, e-file documents within a specific time period, and serve legal documents to the appropriate parties. Legal Assistants also save and organize documents and process mail.

Calendar Clerks utilize our case management system to enter deadlines, schedule and confirm appointments, depositions, examinations, site inspections, mediations etc. Additionally, Clerks maintain the calendar for several attorneys, provide weekly calendar meeting, and respond to emails pertaining to calendaring/ scheduling.

Roles and Responsibilities Calendar Clerk:

  • Maintain case team's calendar
  • Must have expierence using utilizing the court websites and knowledge of court rules, deadlines, and procedures in California
  • Create and modify appointments and reminders related to depositions, court appearances, site inspections, medical inspections, Mediation etc.
  • Schedule, confirm, cancel and reschedule depositions, which includes communicating with clients, counsel for other parties, claims professionals, third-party witnesses, and court-reporting vendors and videographers
  • Communicate with per diem counsel (checking and confirming availability, etc.)
  • Conduct calendar meetings and confirm coverage for court appearance and depositions
  • Review and analyze information provided by clients, client representatives, other parties and their counsel, court personnel, and various jurisdictional websites
  • Assist with maintaining the firm’s calendar email for California, i.e input dates scheduled by the Court
  • Calculate and determine deadlines for appearances, service of documents, and other events and activities
  • Monitor and maintain case calendar
  • Input information regarding case status and assigned tasks in the firm's case management software
  • Answers questions and provided detailed information on the phone
  • Performs a variety of routine clerical activities and other duties as assigned
  • Must have the ability to work under pressure in a fast- paced work environment as the firm continues to grow
  • Assist team members with overflow work and mail

Roles & Responsibilities for Legal Assistant:

  • Assist with non-billable tasks
  • Research court rules
  • Compile, review, and maintain the case files utilizing the firms document program
  • Update case management system files, clients and other contacts
  • E-file and/ or serve correspondence(s), pleadings, motions, discovery and settlement documents
  • Save and organize documents for team members
  • Must have strong communication skills, both oral and written
  • Assist attorneys with hearing, mediation, arbitration, and trials. This includes but is not limited to organizing, assembling, marking key documents, and transmittal of documents.
  • Receive and process information requests, registrations, forms, orders, notices, and/or other related information and correspondence
  • Submit invoices in a timely manner
  • Submit records for medical or radiology examination(s)
  • Work with process servers to serve subpoenas or court documents.
  • Save documents and file materials using the firms document management system
  • Process mail using the firms document system management system and advise teams of same
  • Assist claim file department with saving claim file materials
  • Download records and advise the proper departments of records received
  • Assist team members with overflow work and mail
  • Take part in team meetings

Qualifications/Experience:

  • Prior experience e-filing in California required (minimum 3 years)
  • Prior experience Calendaring in California required (minimum 3 years)
  • Raid Legal expierence- a plus
  • Experience in Insurance Defense Litigation a plus
  • Good decision-making skills and the ability to function well under stress while working in a fast-paced deadline driven environment
  • Knowledge of Court Deadlines in California
  • Strong verbal and written communication skills, and the ability to effectively communicate over the phone and via email
  • General knowledge of applicable subject areas, including court rules and procedures, deadlines and the ability to learn relevant terminology, policies, and processes
  • Must be a highly motivated self-starter with excellent research and analytical skills and be proficient in all Microsoft Office products (including Outlook, Word, and Excel) and in using web-based applications
  • Prior Case Management Software experience a plus
  • Tech savvy candidate
  • Ability to handle multiple tasks concurrently and deal with interruptions
  • Ability to consistently demonstrate sound ethics, good judgment and maintain confidentiality court hearings
  • Prepare and file legal documents with the appropriate courts or agencies. Coordinate with clients, witnesses, and other parties involved in legal proceedings. Proofread legal documents for accuracy. Assist with trial preparation, including organizing exhibits and witness lists

Requirements:

  • California Superior Court e-filing expierence- Required
  • PACER expierence a plus
  • Prior expierence as a Legal Assistant or similar role for at least 2 attorneys
  • Prior expierence as a Calendar Clerk or similar role for at least 2 attorneys
  • Must have expierence using Outlook
  • Good decision-making skills and the ability to function well under stress while working in a fast-paced deadline driven environment
  • Knowledge of Court Deadlines in California
  • Strong knowledge of legal terminology and procedures
  • Excellent research skills and ability to gather relevant information from various sources
  • Ability to manage multiple tasks and prioritize work effectively
  • Attention to detail and strong organizational skills
  • Strong written and verbal communication skills
  • Proficient in data entry and maintaining accurate records
  • Ability to work independently in a remote environment without distractions, as well as part of a team

Job Type: Temporary

Pay: $25.00 - $28.00 per hour
