Title: Legal Assistant- Estate Planning

FLSA Status: Non-Exempt

Reports To: Practice Area Leader

Position Summary

The Legal Assistant – Estate Planning position supports attorneys by managing client files, coordinating meetings and signings, and handling daily administrative tasks. This role requires strong attention to detail, ability to communicate effectively, and manage time efficiently to meet deadlines. Excellent client service is a must for this fast-paced legal environment.

Essential Job Duties

  • Assist attorneys to draft and prepare estate planning documents such as wills, trusts, powers of attorney, and advance directives.
  • Organize and maintain client files, with strong attention to detail.
  • Schedule and coordinate client appointments, attorney meetings and internal deadlines.
  • Communicate with clients, legal professionals, and clients’ other professional advisors via phone, email and mail.
  • Track deadlines and follow up on outstanding tasks and documents.
  • Provide administrative support such as scanning, copying, mailing, and data entry.
  • Occasionally travel to facilitate attorney/client meetings.

Supervisory Responsibility

This role has no supervisory responsibilities.

Work Environment

This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Required Minimum Job Qualifications, Experience, Education and Training

Education: Associate degree

Skills: Proficient in Microsoft Office (Word, Outlook, Excel), strong organization and attention to detail

Preferred Job Qualifications, Experience, Education and Training

Education: Associate’s degree or Bachelor’s degree

Experience: 3-5 years in Legal Assistant role performing estate planning work; experience with WealthCounsel.

Skills: Proficient in Microsoft Office (Word, Outlook, Excel), strong organization and attention to detail.

Additional Eligibility Qualifications

Must be able to accomplish all duties with little to no assistance.
