Legal Assistant, Intake Specialist

We’re looking for a Legal Intake Specialist to join our front-line client team—someone who thrives in a fast-paced environment and can combine warmth, attention to detail, and professionalism to guide potential clients through the intake process.


About the Role

As our Legal Intake Specialist, you’ll be the first point of contact for prospective clients—both over the phone and through email. You’ll answer incoming calls via our live phone queue, conduct detailed intake conversations, schedule consultations, and serve as a reliable liaison between clients and attorneys. You’ll also support basic administrative and compliance tasks, with the opportunity to contribute to special projects as needed.


What You’ll Do

  • Answer and manage incoming calls via the firm’s live phone queue
  • Conduct warm, professional intake interviews and lead follow-ups with prospective clients
  • Confidently explain the firm’s services and guide clients toward scheduling consultations
  • Schedule and coordinate appointments with attorneys, including pre-meeting prep
  • Attend client consultations (when requested) to take notes and track next steps
  • Accurately document client information and communication in the CRM
  • Maintain a clean and up-to-date intake pipeline; close out leads as needed
  • Support with Client Engagement and Collect Client Payments
  • Assist with basic statutory agent billing, compliance reminders, and light administrative tasks
  • Support internal projects or firm-wide operations when needed


What We’re Looking For

  • 2+ years of experience in a client-facing, intake, legal support, or administrative role
  • Excellent phone presence and communication skills
  • Proven ability to guide clients through decisions using a consultative approach
  • Highly organized and attentive to details, especially with follow-ups and data entry
  • Professional, composed, and empathetic when speaking with clients
  • Comfortable learning and using CRM systems (Odoo, Hubspot preferred, but not required)
  • Thrives in a team environment, but can work independently and take initiative


Bonus Points For:

  • Experience working in a law firm or professional services firm
  • Familiarity with statutory agent services or entity compliance
  • Experience using Odoo or similar CRM platforms
