Job Title: Legal Assistant Supervisor

Position Overview
Johnson & Bell is seeking an experienced Legal Assistant Supervisor to oversee legal assistants across our Chicago and Indiana offices. This role combines hands-on legal assistant responsibilities with leadership and supervision of a team of approximately forty (40) assistants in a fast-paced litigation environment. The Legal Assistant Supervisor will primarily work from the Chicago office during the week and will travel to the Indiana office at least two days per month or based on business needs.
Key Responsibilities
· Assign legal assistants to attorneys and adjust workloads based on firm and attorney needs
· Supervise daily operations of legal assistants and ensure compliance with firm policies and procedures
· Manage scheduling, including regular hours, overtime, PTO, and time off requests
· Monitor staffing levels, address absences, and reassign coverage as needed
· Support recruiting, interviewing, hiring, onboarding, and training of legal assistants
· Conduct performance monitoring, evaluations, and ongoing feedback
· Assist with employee relations matters and workplace issues resolutions
· Provide guidance, resources, and support to legal assistants as needed
· Collaborate with other departments to support litigation and attorney needs
· Serve as a legal assistant to an assigned attorney, including:
drafting documents such as pleadings, discovery, correspondence, and case
summaries
Filing court documents and managing e-filing processes
Scheduling depositions, hearings, motions, meetings, and other case-related events
Maintaining and organizing electronic case files
Skills & Competencies
· Strong proficiency in typing, dictation, transcription, and document preparation
· Advanced skills in Microsoft word and document formatting (letters, pleadings, discovery, summaries)
· Experience with document management systems and Outlook calendaring
· Excellent organizational skills with strong attention to detail
· Strong written and verbal communication skills
· Ability to manage multiple priorities in a fast-paced environment
Qualifications
· Bachelor's degree
· At least 5 years of experience as a Legal Assistant or Legal Secretary in a litigation law firm
· Prior supervisory or team lead experience preferred
· Demonstrate Knowledge of Illinois state and federal court filing procedures
· Strong leadership, interpersonal, and conflict-resolution skills
· Proven ability to manage workflows, prioritize tasks, and meet deadlines in a fast-paced environment
Salary Range
$85,000 to $98,000, depending upon experience and qualifications.
Pay: $85,000.00 - $98,000.00 per year
