POSITION SUMMARY:
The Boundary County Prosecutor’s Office Legal Assistant and Office Manager provides essential administrative, legal, and organizational support to the Prosecuting Attorney’s Office. This dual-role position is responsible for performing a wide variety of legal clerical tasks, coordinating office operations, and ensuring the efficient functioning of the office. The ideal candidate will have a strong understanding of legal processes and terminology, excellent organizational skills, and the ability to handle sensitive and confidential information with integrity.
KEY RESPONSIBILITIES:
Legal Assistant Duties:
1. Prepare, proofread, & file legal documents such as complaints, warrants, subpoenas, discovery materials, motion & trial exhibits.
2. Maintain case files (physical and electronic) and ensure accurate tracking of court deadlines and legal correspondence.
3. Coordinate with law enforcement, courts, defense attorneys, witnesses, and victims. 4. Assist with trial preparation, including organizing evidence, preparing jury instructions, and scheduling witnesses.
5. Attend court proceedings as needed to provide support to the Prosecuting Attorney. 6. Manage incoming and outgoing communications including legal correspondence, filings, and public records requests.
7. Interface with members of the public who contact the office for assistance. Provide direction or contact information for other departments or agencies if needed.
8. Maintain calendar for court appearances for the attorneys.
9. Light janitorial duties.
Office Manager Duties:
1. Oversee daily operations of the office, including ordering supplies, equipment, and maintaining vendor relationships.
2. Coordinate schedules and meetings for the Prosecuting Attorney and staff.
3. Develop and implement office procedures to improve efficiency. Review and update as needed.
4. Maintain office budget, monitor expenditures, and assist with grant management or reporting.
5. Prepare draft budget yearly for review by the County Prosecutor.
6. Coordinate travel arrangements including conference registration, hotel and airfare reservations, and per diem requests for office attorneys.
7. Supervise and provide support to other office administrative staff.
8. Manage timesheets for office staff and ensure timely submission to payroll.
9. Serve as liaison with county departments, IT, HR, and other external partners.
10. Prepare all drug seizure and forfeiture proceedings, complete necessary notifications pursuant to Idaho Code, maintain accounting of all assets seized.
11. All other duties as assigned.
MINIMUM EDUCATION/QUALIFICATIONS REQUIRED
•High school diploma or equivalent (associate or bachelor’s degree preferred). •Minimum of 3 years of experience as a legal assistant, legal secretary, or office administrator—preferably in a criminal law or public sector setting. •Proficiency in Microsoft Office Suite, legal case management software, Zoom Meetings, Adobe Acrobat, and document management systems. •Strong knowledge of legal terminology, court procedures, and filing requirements. •Excellent written and verbal communication skills. •Strong organizational skills with attention to detail and the ability to prioritize multiple tasks. •Ability to maintain confidentiality and exercise sound judgment.
PREFERRED QUALIFICATIONS
•Prior experience working in a Prosecutor’s Office or similar legal environment. •Familiarity with local, state, and federal court systems. •Notary Public certification (or ability to obtain).
TYPICAL WORK HOURS
40 hours per week or as needed
WORKING CONDITIONS
•Office environment with occasional attendance in court or public meetings. •May require occasional overtime or flexible hours depending on court schedules and case demands. •Requires prolonged periods of sitting and computer use; some lifting of files or supplies may be necessary.
