Legal Billing Specialist

Job Summary
We are seeking a detail-oriented and experienced Billing Specialist to join our finance team. The ideal candidate will be responsible for managing billing processes, ensuring accuracy in accounts receivable, and maintaining compliance with financial regulations. This role requires strong analytical skills and proficiency in various accounting software to support our financial operations.

Responsibilities

  • Manage the billing cycle from invoice generation to payment collection.
  • Review, interpret and apply billing guidelines and updates to assigned clients;
  • Perform account reconciliation and resolve discrepancies in a timely manner.
  • Generate, distribute and process prebills for assigned attorneys at the start of the month and on an as-needed basis;
  • Produce final bills, reviewing for accuracy and adherence to client guidelines and ensuring correct rate applications;
  • Handle accounts receivable and accounts payable transactions efficiently.
  • Provide exceptional customer service by addressing billing inquiries and resolving issues.
  • Manage the electronic billing process to include; e-billing setup, creation and maintenance of LEDES files.

Qualifications

  • Knowledge of billing policies, procedures and best practices, preferably acquired in a law fi rm or professional services setting;
  • Experience with Centerbase or similar legal accounting software applications;
  • Proficiency in accounting software such as QuickBooks, Quicken, Sage, or similar platforms.
  • Solid understanding of law fi rm e-billing, including system setups and LEDES formats;
  • Outstanding communication skills and the ability to solve complex issues in a positive manner for both internal and external clients;
  • The ability to work effectively in a team environment or independently;
  • Self-motivated, team player approach with strong organizational skills, and the ability to multitask and prioritize to meet deadlines;
  • Ability to work independently while also collaborating effectively within a team environment.
  • Adaptability and the ability to grasp and apply new ideas, software programs, and instructions;
  • Discretion, sound ethical judgment, and the ability to maintain a high level of confidentiality.
