Position Overview:
We are seeking an experienced and highly professional Legal Executive Assistant to support a team of attorneys in our Fort Lauderdale office. This is an in-office position that requires regular daily presence to support operational needs, team collaboration, training initiatives, and relationship-building efforts.
The ideal candidate will provide high-level legal and administrative support, manage complex calendars and communications, and play a critical role in ensuring the attorneys' day-to-day responsibilities are handled efficiently and professionally. This is a fast-paced role suited for a proactive and organized individual with extensive experience in a legal or law firm setting.
Key Responsibilities:
- Manage and maintain busy attorney calendars, coordinate appointments, meetings, and deadlines
- Handle daily email and telephone communications; screen and route messages appropriately
- Prepare and organize complex domestic and international travel arrangements
- Maintain and update client files, contact lists, and case-related materials
- Draft, format, transcribe, and proofread correspondence, legal documents, and reports
- Conserve attorneys' time by reading, researching, and routing correspondence appropriately
- Monitor and respond to incoming communications, both internal and external
- Process expense reports, reimbursements, and credit card reconciliations; manage heavy expenditure reporting
- Handle time entry, billing, and collections processes for assigned attorneys
- Coordinate with clients, courts, and opposing counsel to support case management and client relations
- Assist with client engagement, conflicts checks, and intake processes
- Support business development initiatives, including preparation of pitches and marketing materials
- Flexibility to work overtime or outside normal business hours as needed
Required Qualifications:
- 10–15 years of experience as a legal administrative or executive assistant in a mid- to large-sized law firm
- Bachelor’s degree or equivalent experience preferred
- Strong document management, proofreading, and formatting skills
- Proven ability to handle confidential and sensitive information with discretion
- High level of professionalism and excellent judgment in client interactions

Pay: $85,000.00 - $100,000.00 per year
