Legal Executive Assistant

The Legal Executive Assistant (LEA) provides essential administrative and legal support to attorneys and legal professionals. This role is key to keeping things running smoothly—handling scheduling, preparing legal documents and correspondence, and providing support for attorneys. The ideal candidate will be someone who is organized, detail-oriented, and enjoys being a reliable, proactive partner in a fast-paced legal environment.


Responsibilities


  • Manage calendars in Outlook with confidence, handling a high volume of meetings, appointments, and deadlines while anticipating needs before they arise.
  • Accurately enter attorney time records into the billing system to support timely and efficient financial processes
  • Coordinate travel logistics and detailed itineraries to support our team’s commitments near and far.
  • Assist with the preparation of client invoices, collaborating with the billing department and sending selected bills directly to clients with clear and accurate communication.
  • Engage with clients professionally and independently when needed to provide exceptional support and service
  • Manage incoming calls with warmth and professionalism, ensuring messages and inquiries are routed thoughtfully and efficiently.
  • Draft, format, and edit a variety of legal materials, correspondence, and memoranda with precision and care.
  • Support department-specific initiatives, including special projects and ongoing responsibilities like tracking, reporting, and presenting key information.
  • Juggle multiple tasks and priorities with grace and resilience in a fast-paced environment, always keeping the bigger picture in mind.
  • Maintain and update client files, ensuring information is current and accessible.
  • Embrace additional responsibilities as needed, contributing to a positive, team-oriented work environment.


Qualifications


  • Proven experience as a Executive Assistant in a Big Law or professional services environment, supporting senior attorneys or executives in a fast-paced setting.
  • Demonstrated discretion and ability to handle confidential information with professionalism.
  • Strong written and verbal communication skills with a professional and approachable tone.
  • Proficiency in Microsoft Excel, PowerPoint, and Outlook for scheduling, presentations, and data management.
  • Strong understanding of legal billing and timekeeping practices.
  • Ability to multitask effectively and manage competing priorities.
  • Excellent attention to detail and strong proofreading skills.
  • Proactive, polished, and able to work independently with minimal supervision.
  • Understanding of how to navigate a corporate or professional office environment.

Salary range based on experience level and location is estimated to be in the range of $70,000-90,000.
