Position: Legal Intake Manager
Location: City of Industry, CA (In-Person)

Position Overview
The firm is seeking an experienced and highly capable Legal Intake Manager to oversee and execute the firm’s intake function. This is a senior, high-impact role responsible for managing the entire intake lifecycle—from first contact through qualification and handoff to attorneys—while maintaining high standards of judgment, efficiency, and client experience. The Legal Intake Manager plays a critical role in protecting the firm’s time, resources, and reputation by ensuring that only well-qualified matters move forward.

This position requires strong leadership by example, exceptional analytical ability, and the confidence to make independent intake decisions in high-volume and high-stakes situations. While this role carries managerial responsibility over intake operations, it remains hands-on and client-facing.

Key Responsibilities
Serve as the primary point of contact for prospective clients and oversee all intake communications. Conduct in-depth intake interviews to gather facts, identify legal issues, and assess case viability. Screen and evaluate potential matters for alignment with the firm’s practice areas, internal criteria, and operational capacity. Exercise sound judgment in identifying high-value and high-priority cases and determining when matters should be escalated to attorneys. Schedule consultations and coordinate meetings between prospective clients and attorneys, ensuring attorneys receive complete and well-organized intake summaries. Maintain accurate, thorough, and timely client records within the firm’s case management systems. Ensure a smooth and efficient transition of qualified matters to the legal team. Uphold strict confidentiality and ensure compliance with firm policies, ethical obligations, and intake protocols. Develop, refine, and enforce intake procedures to improve efficiency, consistency, and client experience. Handle complex, sensitive, or emotionally charged client interactions with professionalism, empathy, and firm boundaries.

Qualifications

· Minimum of 5 years of professional experience, with significant law firm intake experience or equivalent legal screening responsibility.
· Demonstrated ability to navigate complex interpersonal situations with exceptional emotional intelligence (EQ) and analytical reasoning (IQ).
· Excellent verbal and written communication skills in English.
· Proven ability to independently assess facts, identify legal risks, and make sound intake decisions.
· Strong organizational skills with a high level of attention to detail.
· Ability to thrive in a fast-paced, high-responsibility environment.

Additional Requirements

· Willingness to work occasional overtime as business needs require.
· Flexibility to travel on short notice, if necessary.
· Ability to work fully in person at the City of Industry office.

Compensation & Benefits

· Annual salary: USD $100,000–$200,000, commensurate with experience and qualifications.
