USA Employment Lawyers, a dynamic, boutique law firm specializing in class-action cases across the country, is searching for an experienced, organized, and charismatic Legal Intake Specialist to join our Fort Lauderdale team in a full-time position. We are a law firm that focuses on handling claims for employees who have not been properly paid. We are looking for someone who excels in, and enjoys, customer relations and understands the pivotal role they play as the first point of contact with our clients and other members in the legal community.

The Legal Intake Specialist will answer all incoming calls and conduct intake interviews for potential clients. They will also respond to email leads that are generated from online marketing. After the initial interview, the Intake Specialist will be responsible for following up with potential clients to obtain documentation that support their claims.

It should be the mission of the intake specialist to make potential clients feel immediately comfortable and initiate a positive experience with our law firm.

Qualifications...

REQUIRED:

  • Associates Degree (or comparable) is required; Bachelor's Degree preferred
  • Strong organizational and grammar skills, with the ability to multitask effectively
  • Proficient in using computer software programs, including Microsoft Office Suite, Dropbox, Adobe and others
  • Extremely detail-oriented with a high level of accuracy in data entry and record keeping
  • Ability to keep confidentiality of sensitive information
  • Capable of maintaining accurate and up-to-date client records
  • Able to handle a large volume of calls and tasks simultaneously
  • Self-Motivated with an upbeat, "can-do" attitude
  • Convey empathy when talking with clients and potential clients, yet strong enough to control the conversation
  • Follow S.O.P.'s (Standard Operating Procedures) to maintain consistency in the role
  • Able to work efficiently in a quiet, professional environment
  • Team player who's ready to pitch in wherever needed
  • Lives within a 40 minute commute or less

PREFERRED:

  • Bilingual in English and Spanish with excellent communication skills, both written and verbal,is a huge plus
  • Previous experience in a similar role, particularly at a law firm is desired
  • Experience with CLIO legal software is a plus
  • Familiarity with legal terminology and procedures is helpful
  • Experience using Apple computers

Key Responsibilities...

Client and Attorney Interaction: Handle all incoming calls with professionalism and kindness. Receive introductory calls from potential clients and gather necessary information to understand the client’s potential legal issues. Return calls and conduct intakes of potential clients who have reached out.

Evidence Gathering: Request that potential clients provide evidence such as payroll stubs, photographs, work schedules, company handbooks, text messages, and more. Organize this information for the legal team’s use. Under the guidance of an attorney, send retainer agreements to accepted clients.

Data Entry: Complete client intake sheets during phone calls, and open files and claims on behalf of clients to initiate the legal process by using the law firm’s legal software, Clio. Accurately record and maintain detailed client information and case details to ensure that all client data is up-to-date and properly organized.

Follow-Up: Initiate follow-up processes to ensure the law firm’s clients are regularly kept informed of the status of their cases. Facilitate direct communication with the client, sending necessary e-mails, phone calls, and/or text messages as needed. Coordinate meetings and phone calls between clients and attorneys when necessary.

Team Collaboration: Collaborate with attorneys, paralegals, and other staff members to provide a smooth transition of cases from intake to representation and conclusion. Communicate client needs and expectations effectively to members of the law firm and provide case updates to the clients. Field calls from opposing counsel (other attorneys) and direct them to the appropriate team member or take messages. Make calls or send emails as directed by the attorneys or supervisors.

Closing Statements: Send to clients via mail, UPS or Fedex their closing statement along with their settlement checks. Conduct necessary follow-ups with clients and use tracking as necessary to ensure that they receive their settlement checks.

Office Equipment: Use photocopier, scanner, printer and other office equipment as needed. Organize and report low levels of office supplies to team members. Maintain a clean work environment.

Base Pay: $52,000.00 - $66,000.00 per year
