The Legal Operations Coordinator plays a critical role in supporting the Legal Operations team by
overseeing key operational and administrative functions that enable efficient litigation support. This
position is responsible for ensuring accuracy in department invoicing related to litigation expenses,
maintaining organized team resources, facilitating attorney onboarding, and supporting supervisorled initiatives. The Legal Operations Coordinator reports directly to the Legal Operations Supervisor
and serves as a vital link between legal, operations, and client service teams.
Key Accountabilities
Litigation Expense Oversight
- Monitor and reconcile department invoices related to litigation expenses, ensuring
accuracy, timeliness, and compliance with established financial procedures.
- Collaborate with Accounting and Operations teams to track, report, and resolve
discrepancies in expense management.
Team Resource Management
- Organize and maintain shared team resources, including centralized documents, to ensure
consistent accessibility and version control.
- Oversee team access to shared drives, folders, and legal management systems, ensuring
proper permissions and secure, organized storage of all departmental resources.
- Manage and troubleshoot team technology issues, including ticketing systems and
software access, escalating as needed.
- Identify opportunities to streamline team workflows and implement creative solutions to
improve efficiency and productivity.
- Develop, update, and distribute best practice guides, workflow tools, and process
documentation.
Attorney Onboarding, Allocation, and Calendaring
- Manage attorney onboarding, including establishing lawsuit templates, e-filing accounts,
and system access to ensure attorneys are prepared for litigation activities.
- Assist the Litigation Management team with attorney lawsuit allocations, including transfer
of cases, ensuring workloads are distributed fairly and efficiently across available staff.
- Activate and deactivate attorney schedules for planned time off, ensuring adequate
coverage and minimal disruption.
Legal Operations Coordinator – Job Description
- Set up new attorney calendars during onboarding, ensuring all schedules are accurate and
up to date.
- Review and update hearing calendars weekly to ensure all hearings are properly scheduled
and accounted for.
Legal Administrative Coordinator Support
- Ensure new coordinators have proper access to calendars and provide support to integrate
them into scheduling processes.
- Assist the Legal Operations Supervisor with onboarding and training new Legal
Administrative Coordinators.
Communication & Collaboration
- Serve as a liaison between legal, operations, and client support teams to ensure seamless
coordination and timely communication.
- Provide ongoing support to the team, troubleshooting process-related issues, and
escalating in L10 meetings as needed.
Miscellaneous
- Attend company meetings and contribute to cross-departmental initiatives.
- Perform other duties as assigned to support the success of the Legal Operations team.
Job Requirements
- Minimum of 1–2 years of experience in legal operations, legal administration, or a similar
role within a litigation or high-volume law firm environment.
- Knowledge of litigation procedures, attorney onboarding practices, and court filing
protocols, with demonstrated ability to manage sensitive and time-sensitive matters.
- Strong organizational and time management skills, with the ability to prioritize tasks, meet
deadlines, and adapt in a fast-paced environment.
- Proficiency in case management systems, document management tools, and Microsoft
Office Suite; familiarity with e-filing platforms is strongly preferred.
- Excellent written and verbal communication skills, with professionalism and discretion in
handling sensitive communications.
