Legal Operations Coordinator

The Role

We are hiring a Law Graduate (LL.B or equivalent) to join the team as a Legal Operations Coordinator.

This is not a sales role. You will be the central hub of our operations. Your primary goal is to coordinate the execution of client services—ensuring that company setups, visa processes, and legal documents move through the system efficiently and without error. You are the person who ensures nothing falls through the cracks.

Key Responsibilities

1. Coordination of Government Services

  • Coordinate directly with UAE government bodies to process client applications.
  • Track the status of all active applications and proactively follow up to prevent delays.
  • Maintain an up-to-date database of changing government regulations and fee structures.

2. Legal Documentation & Review

  • Document Control: Organize and maintain specific client legal files, ensuring every MOA, SPA, and lease is signed, stamped, and archived correctly.
  • Review: Perform initial review of contracts and forms to spot errors (typos, incorrect details) before they are sent to the Founder or Client.
  • Drafting: Assist in drafting official letters, NOCs, and Board Resolutions required for corporate actions.

3. Client Portfolio Management

  • Act as the Coordinator for our existing client portfolio. You are the first point of contact for their administrative questions.
  • Ensure clients are kept informed of the status of their applications.
  • Coordinate the onboarding process for new clients, ensuring all KYC and compliance documents are collected.

4. Executive & Office Coordination

  • Manage the Founder’s calendar, coordinating high-level meetings with partners and officials.
  • Oversee office administration to ensure the business backend runs smoothly.
  • Prepare weekly operational reports tracking active files and pending tasks.

What We Are Looking For

  • Education: Bachelor of Laws (LL.B) is MANDATORY. We need someone with a legal background who understands the importance of details and compliance.
  • Language Skills:
  • English: Native-level fluency (Written & Spoken) is required for professional correspondence.
  • Spanish: Not required, but a strong advantage.
  • Location: Must currently reside in the UAE.
  • Hyper-Organized: You love checklists, calendars, and clean filing systems.
  • Persistent: You are comfortable following up with government call centers until a job is done.
  • Tech-Savvy: Proficient in using government portals and CRM tools.
