Job Summary
We are seeking a dynamic and highly organized Legal Receptionist/Administrative Assistant to join our busy family law office. This vital role combines front-desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional client service. The ideal candidate will be proactive, detail-oriented, and possess a strong understanding of legal administrative processes across various practice areas such as estate planning, environmental law, litigation, and more. Duties
- Greet clients, visitors, and vendors professionally, managing all front-desk activities with excellent phone etiquette and organizational skills
- Schedule appointments, meetings, and court dates using legal case management systems
- Manage incoming calls and direct inquiries efficiently while maintaining a positive and helpful demeanor
- Assist with legal research and document review using Westlaw, LexisNexis, and other legal research tools to support attorneys’ case preparation
- Prepare, proofread, and transcribe legal documents including contracts, pleadings, reports, and correspondence with accuracy and attention to detail
- Maintain organized filing systems both physically and electronically, including document management systems for case files and client records
- Support attorneys with project management tasks related to litigation, estate planning, family law, or other practice areas as needed
Requirements
- Proven experience in legal administrative support or as a paralegal within a law office environment
- Proficiency in legal research tools including Westlaw and LexisNexis
- Strong organizational skills with the ability to manage multiple priorities efficiently in a fast-paced setting
- Excellent written and verbal communication skills; keen proofreading and transcription abilities
- Knowledge of document review processes and legal drafting standards
- Ability to handle confidential information discreetly while demonstrating professionalism at all times
- Technical proficiency with document management systems, data entry tasks, and office equipment
- Prior clerical experience in a law office setting is preferred; familiarity with project management principles is a plus
