Job Overview
We are seeking a highly organized and detail-oriented Legal Secretary to join our dynamic legal team. This vital role involves providing comprehensive administrative and legal support across a variety of practice areas, ensuring smooth operations within the law office. The ideal candidate will demonstrate exceptional organizational skills, legal research proficiency, and a strong understanding of diverse legal fields. Duties

  • Manage and organize legal documents using document management systems such as iManage and PCLaw, ensuring accuracy and confidentiality.
  • Conduct thorough legal research utilizing Westlaw, LexisNexis, and other research tools to support case development across multiple practice areas including estate planning, environmental law, immigration law, family law, securities law, tribal law & regulations, patent law, workers' compensation law, personal injury law, landlord-tenant law, and UCC law.
  • Assist with drafting legal documents such as contracts, pleadings, motions, and correspondence with precision and clarity.
  • Review and proofread legal documents for accuracy, consistency, and adherence to court standards.
  • Support litigation processes through document review, case file organization, and preparation of trial materials.
  • Coordinate client interviews by scheduling appointments and preparing necessary documentation for effective interviewing sessions.
  • Perform data entry tasks accurately within case management systems while maintaining meticulous filing systems both physically and electronically.
  • Provide executive administrative support including managing calendars, scheduling meetings, answering phones with professional etiquette, and handling correspondence efficiently.
  • Transcribe dictations and prepare reports or summaries as needed to facilitate case progression.
  • Assist with project management tasks related to legal cases or firm initiatives to ensure deadlines are met promptly.
  • Maintain a high level of professionalism in all interactions with clients, attorneys, courts, and external partners.

Qualifications

  • Proven experience as a Legal Secretary or in a similar legal administrative role with familiarity in various practice areas such as estate planning, environmental law, immigration law, family law, securities law, tribal law & regulations, patent law, workers' compensation law, personal injury law, landlord-tenant law, UCC law or related fields.
  • Strong knowledge of legal research tools including Westlaw and LexisNexis.
  • Proficiency in legal case management software like iManage and PCLaw; experience with document review systems is highly desirable.
  • Excellent writing skills for drafting legal documents and correspondence with clarity and professionalism.
  • Demonstrated ability to handle multiple priorities efficiently while maintaining attention to detail.
  • Exceptional organizational skills with the ability to manage large volumes of files and data entry tasks accurately.
  • Experience supporting litigation processes from document preparation to trial support is preferred.
  • Strong proofreading skills coupled with meticulous attention to detail in all work products.
  • Effective interviewing skills for client intake processes or witness interviews when required.
  • Knowledge of various legal practice areas including estate planning, environmental law, immigration law, family law etc., is a plus but not mandatory.
  • Superior phone etiquette combined with excellent organizational skills to manage busy schedules seamlessly.   • Salary starts at $70,000 - $90,000 (depending on experience and credentials)
