Under general supervision, is responsible for providing research and administrative assistance to division attorneys; drafts legal documents and correspondence; files case documents in a timely manner; maintains reporting statistics; and performs related duties as required. This position is not covered under Civil Service.
Duties and Responsibilities:
Performs legal secretarial duties for the Criminal District Attorney’s DFPS Division
Takes and transcribes a variety of correspondence and legal documents, including resolutions, ordinances, legal opinions, contracts, briefs, leases, and agreements
Prepares and processes correspondence, legal papers, and documents requiring knowledge of legal format, terminology, and procedures
Maintains litigation calendars and records follow-up trial dates, action dates, and deposition of cases
Interprets County policies, procedures, laws, and regulations in response to inquiries and complaints and refers inquiries as appropriate
Researches, compiles, and analyzes data for special projects and various reports Indexes and files legal documents, correspondence, and reports
Complies and assembles various legal materials, form files, and other sources for the County attorney's use in providing legal assistance and in preparation of other legal documents and opinions
May notarize documents for assigned attorneys
Performs related duties as required
Minimum Qualifications:
Graduation from High School or a General Education Development (GED) certificate, and two (2) years of increasingly responsible legal secretarial experience; or equivalent combination of education and experience
Good knowledge of English spelling, grammar and punctuation
Good knowledge of office procedures
Knowledge of legal terminology and the forms and documents used in legal secretarial work
Knowledge of principles and techniques of business letter writing and basic report preparation
Skill in performing basic mathematical calculations
Skill in operating basic office equipment
Ability to perform responsible and complex legal secretarial work involving the use of independent judgment and personal initiative
Ability to maintain confidential data and information
Ability to communicate clearly and effectively, both verbally and in writing
Ability to establish and maintain effective working relationships with co-workers, County employees, and the general public
Must secure and maintain a favorable background investigation from the Criminal District Attorney's Office
Must secure and maintain a pre-employment physical
May be required to work more than 40 hours during the workweek
Working Conditions and Physical Demands:
Constantly working in indoor conditions
Occasionally moves items weighing up to 5-10 pounds
Occasionally moves about the office
Frequently communicates with others; must be able to exchange accurate information
Constantly operates a computer and other office productivity machinery
Positions self to perform essential functions
Must be able to remain in a stationary position
