Job Summary
We are seeking a highly organized and detail-oriented Legal Secretary (Female) to serve as an Executive Assistant at our Corporate Office in Dubai. The candidate will provide comprehensive administrative, legal, and executive support to the CEO & Managing Director. The role involves preparing legal documents, coordinating executive schedules, managing confidential information, and assisting with contract drafting, review, and documentation, ensuring accuracy and compliance with company policies and applicable laws.
Key Responsibilities
1. Executive Support
- Manage executive calendars, schedule meetings, and arrange appointments.
- Prepare agendas, minutes, and follow-ups for internal and external meetings.
- Handle email correspondence, communications, and documentation on behalf of management.
- Coordinate travel arrangements, accommodations, and logistics as required.
2. Legal and Administrative Support
- Draft, format, and proofread legal documents, letters, memos, and reports.
- Maintain an organized filing system for legal, corporate, and confidential documents.
- Manage document control, tracking versions, approvals, and filing.
- Assist with preparing company legal forms, Power of Attorneys, resolutions, and regulatory submissions.
- Liaise with external law firms, government bodies, and internal departments.
3. Contract Drafting & Review
- Review commercial contracts, agreements, NDAs, and legal documents for completeness, accuracy, and compliance.
- Highlight key terms, risks, and required amendments for management’s attention.
- Assist in drafting and modifying standard contracts using company templates.
- Track contract status, approvals, and renewals.
- Ensure timely execution, notarization, attestation, and archiving of contracts.
4. Compliance & Coordination
- Ensure documents comply with company policies, legal standards, and regulatory requirements.
- Coordinate with HR, Finance, Procurement, and other key departments to support legal and administrative processes.
- Support corporate governance activities, including maintaining company records and licenses.
5. Office & Task Management
- Manage confidential information with discretion and professionalism.
- Monitor deadlines and ensure timely follow-up on pending matters.
- Support general office administration when required.
Requirements
- Bachelor’s degree in Law (LLB) or equivalent from a recognized university (UAE attestation is mandatory)
- Minimum 4 to 6 years of experience as a Legal Secretary or Legal Consultant
- Experience in reviewing commercial contracts and legal documentation
- Strong knowledge of legal terminology, documentation, and contract formats
- Excellent written and verbal communication skills
- Proficiency in MS Office (Word, Excel, PowerPoint) and document management systems
- Familiarity with UAE legal procedures, notarization, corporate laws and government portals (Dubai Courts, Notary etc.)
- Valid UAE Driving License
- Experience in coordinating with legal departments and external counsel
- High attention to detail and accuracy
- Discretion and ability to handle sensitive and confidential information
- Strong analytical and document-review skills
- Ability to work independently and support senior leadership effectively
